Org. Setting and Reporting This position is located in the regional political-operational structure of the Departments of Political and Peacebuilding Affairs and Peace Operations (DPPA-DPO), in the Northern Africa Division. The Northern Africa Division is tasked with monitoring and reporting on major developments in the countries under its purview, and recommending actions for addressing the related challenges, risks and threats. The Staff Assistant will act as the Personal Assistant to the Director and report to the Director of the Division.

Responsibilities Within limits of delegated authority, the Staff Assistant will be responsible for the following duties:

  • Performs the full range of office management and administrative support functions for the Northern Africa Division.
  • Maintains liaison with the Executive Office and with senior officials in other units regarding the work of the Northern Africa Division.
  • Ensures smooth and efficient information flow within the Division; prepares and processes confidential information; assists in the development of office administrative systems and procedures.
  • Provides assistance in the coordination of Division-wide activities (meetings, training, etc.), special projects and events.
  • Orients new staff to relevant administrative procedures and practices and provides general assistance to other office support staff; may coordinate the work of office support staff.
  • Responds or drafts responses to a wide range of correspondence and other communications, including by telephone; uses standard word processing package to produce a wide variety of large, complex documents and reports, including trip books for the team members.
  • Manages, updates and further develops internal databases; Maintains files and databases for the team.
  • Responds to complex information requests and inquiries (e.g. answers requests requiring file search, etc.).
  • Provides specialized support to the Division (e.g. technology support, editing, etc.).
  • Maintains the calendar/schedules of the Director; monitors, changes and communicates relevant information to appropriate staff inside and outside the team.
  • Performs a variety of administrative duties, (e.g. dictation, leave recording, meeting organization, reservations, office supply and equipment orders, etc.), including preparing and/or processing administrative requests/documents (e.g., travel requests, expense claims, vouchers, visa applications, etc.).
  • Performs other duties as assigned.

    Education High school diploma or equivalent.

    Work Experience A minimum of five years of experience in general office support or related area is required.

    Experience working with Enterprise Resource Planning (ERP) Systems such as Umoja is required.

    Experience working with Special Political Missions, Peacekeeping Mission or other relevant field operation is desirable.

    Experience in a front office environment is desirable.

    Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required.

    Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
