Org. Setting and Reporting This position is located in the Programme Management Support Section (PMSS) of the United Nations Mine Action Service (UNMAS) within the Office of the Rule of Law and Security Institutions (OROLSI) in the Department of Peace Operations (DPO) in New York. The incumbent will report to the Chief of Programme Management Support Section of UNMAS.
Established in 1997, the United Nations Mine Action Service (UNMAS) works to eliminate the threat posed by mines, explosive remnants of war and improvised explosive devices by coordinating United Nations mine action, leading operational responses at the country level, and supporting the development of standards, policies and norms.
As a specialized service of the United Nations located within the Department of Peace Operations, UNMAS operates under UN legislative mandates of both the General Assembly and the Security Council. UNMAS also responds to specific requests for support from the UN Secretary-General or designated official.

Responsibilities Within delegated authority, the Staff Assistant is responsible for the following duties:
•Performs, under minimal supervision, the full range of office management and ERP support functions; provides direct assistance to the Chief of Programme Planning and Management Section. •Maintains liaison with Funds and Agencies, senior management within the Service, and with senior officials in other units regarding on-going programmes and other ERP related matters; monitors processes and schedules related to the section’s outputs, products, tasks, etc. •Ensures smooth and efficient information flow within the section; prepares and processes confidential information and statistical data from ERP and other sources; maintains relevant computerized databases; assists in the development of office administrative systems and procedures including programme/ project structures in ERP. •Researches, compiles and summarizes background materials for use in preparation of project reports, briefs, speeches, etc. •Provides assistance in the coordination of section-wide activities (meetings, training, etc.), special projects and events. •Orients new staff to relevant administrative procedures and practices and provides general assistance to other office support staff, as required; may coordinate the work of office support staff in providing meetings servicing/administrative support to various sessions of commissions and other bodies. •Assists in preparation and follow up of recruitment and human resources activities in the Section. •Responds or drafts responses to a wide range of correspondence and other communications; uses standard word processing and spreadsheets package to produce a wide variety of large, complex documents and reports. •Manages, updates and further develops internal databases; generates a variety of standard and non-standard statistical and other reports from various databases. •Carries out quality control function for outgoing documents for the section; proofreads and edits texts for adherence for format, grammar, punctuation and style. •Responds to complex information requests and inquiries related to business applications, ERP and databases. •Assists in the preparation of presentation materials using appropriate technology/software. •May provide some specialized support to the section (e.g. technology support, editing, maintenance of databases, etc.). •Maintains calendar/schedules; monitors changes and communicate relevant information to appropriate staff inside and outside the immediate work unit. •Performs a variety of administrative duties for the section (e.g. leave recording, meeting organization, reservations, office supply and equipment orders, etc.), including preparing and/or processing administrative requests/documents (e.g., travel requests, expense claims, vouchers, visa applications, etc.). •Maintains files (both paper and electronic) such as statistical tables and reports, and databases for the section. •Performs other duties as assigned.

Education High school diploma or equivalent is required.
Work Experience A minimum of five years of experience in general office support or related area is required.
Experience in providing direct support/ working with senior management is desirable.
Experience with an Enterprise Resource Planning (ERP) system is desirable.
Experience coordinating or organizing activities with an inter-governmental organization, governmental organization, or international organization is desirable.
Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English (both oral and written) is required. Knowledge of French is desirable. Knowledge of another official United Nations language is an advantage.
Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
Special Notice This position is funded for a finite period of one year. Extension of the appointment is subject to extension of the mandate and/or the availability of the funds.
Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat.
