Org. Setting and Reporting This position is located in the Strategic Communications and Speechwriting Unit, Executive Office of the Secretary-General.

The incumbent provides support to the members of the Strategic Communications and Speechwriting Unit and backstops the Senior Staff Assistant in administrative and speechwriting support functions as needed. The incumbent and Senior Staff Assistant are expected to cover for each other during their respective absences from office.

EOSG, under the guidance of the Secretary-General (SG), work as a team pursuing in a cohesive and coherent manner, the SG’s vision, priorities and policies for his second mandate in office. It seeks alignment of the United Nations family with the SG’s vision, priorities and policies. It is guided by the necessity of securing the highest standards of efficiency, competence and integrity and of achieving gender and regional balance among staff.

All EOSG units will support the EOSG senior officials, as appropriate, depending on the tasks at hand, regardless of which senior official they formally report to, and will work together through a matrix team approach, as necessary, to ensure EOSG leads by example on integration and cross-pillar work.

Responsibilities Assists in requesting and following-up on information about, or inputs for, speeches and messages to be delivered by the Secretary-General and Deputy Secretary-General with EOSG, UN system and external partners;

Assists in ensuring the timely delivery and dissemination of speeches and messages by the Secretary-General and Deputy Secretary-General.

Proofreads and edit texts for accuracy, adherence to format, grammar, punctuation and style of speeches for delivery. Assists with the review and tracking of internal and external correspondence logged to the Unit; ensures smooth and efficient information flow within the unit; liaises with EOSG, UN system and external partners to assist in the preparation of responses; and follow-up as needed.

Drafts responses and correspondence; uses standard word processing package for communications, speechwriting, media inquiries and other matters.

Conducts research as needed on substantive and other matters, compiles and summarizes background materials for use in preparation of reports, briefs, speeches, including items in the media.

Maintains both paper and electronic files and databases for Unit to ensure proper archiving of final documents for reference and retrieval;

Manages organizational tables to track the status and progress of ongoing tasks divided between the Senior Staff Assistant and incumbent. Accountable for overseeing and confirming that incoming and outgoing materials reach the correct colleagues within and outside of the unit.

Liaise with external organizers and focal points within the UN system to coordinate pertinent information necessary for the production and distribution of video messages, written messages, and remarks;

Distributes messages on or ahead of schedule to guarantee event organizers, broadcasting, interpretation colleagues can effectively deliver Secretary-General messaging to designated audience.

Perform other functions as requested.

Education High school diploma or equivalent.

Work Experience A minimum of seven years of experience in general office support or related area is required.

Experience liaising with high-level officials of the Organization and external partners is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by a competency-based interview.

Special Notice This position is temporarily available for 365 days with a possibility of extension.

If the selected candidate is a staff member from the United Nations Secretariat, the selection will be administered as a temporary assignment. While this temporary assignment may provide the successful applicant with an opportunity to gain new work experience, the selection for this position is for a limited period and has no bearing on the future incumbency of the post.

Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Service category in the United Nations Secretariat.

Having passed the Administrative Assessment Support Test (ASAT) in English at Headquarters, ECA, ESCWA, UNOG, UNOV, ICTR, or ICTY may be recognized in place of the GGST, pending confirmation of validity.
