You have:
- Bachelor’s Degree in Human Resources, Business Administration, Economics, or a related field is typically required.

- Certificate in Job evaluation will be an added advantage.
- Strong analytical, numerical, and problem-solving abilities to work with large datasets, conduct market analysis, evaluate job roles, and develop competitive pay structures.
- Proficiency in Excel is essential.
- Solid understanding of compensation and benefits principles, job evaluation methods, and market benchmarking.
- Strong Familiarity with HR Information Systems (HRIS), such as Workday or SAP, is important.
- Expertise in labor laws and compliance standards is crucial to ensure all total rewards programs are legally sound.
- Strong written and verbal communication skills to explain complex total rewards concepts to employees, managers, and leadership, maintaining confidentiality.

Position: Payroll, Rewards and Compensation Specialist Location: Lilongwe Malawi
Reporting Line: People and Culture Director
POSITION SUMMARY
Payroll and Total Rewards Specialist role is responsible for the development, administration, and analysis of World Vision Malawi compensation, benefits, and payroll programs to attract, motivate, and retain employees. You will be responsible to manage payroll processes, administer benefits plans, conduct market research and salary benchmarking, support annual compensation cycles, ensuring regulatory compliance, and collaborate with HR and other stakeholders to align rewards with business goals and create a competitive total reward for World Vision Malawi. This Position reports to the people and Culture Director.
PAYROLL SUPPORT
- Process staff information for payroll purposes, such as advances, change of pay and deductions as approved by WV Management
- Maintain an up-to-date payroll system, ensuring that all new employees are included on the payroll and that exiting employees are removed from payroll immediately they leave the organization and once the input has been received
- Accurately processing of payroll and that all staff receive their correct salaries not later than 23rd of every Month
- Ensure statutory payments to Pension Administrator and MRA are paid before their due dates and ensure the Organization is not penalized for late payments.
- Ensure all payments for Pension Administrator and MRA returns are accompanied by correct employee schedules showing the correct employee contributions for the month.
- Prepare Payroll Journals and reconcile Payroll Accounts
- Ensure all staff who leave the Organization are paid all their dues not later than 7 working after submitting exit clearance forms
- Run monthly pension contribution and group life cover premium reports, get the reports duly approved and ensure that payment is timely delivered to relevant pension and insurance houses
REWARDS MANAGEMENT
- Managing compensation programs, including job evaluation and grading structure, market pricing and survey participation, pay equity review and other compliance reporting, and annual pay and bonus review and delivery processes
- Leading WVM Workers compensation process, coordinating claims and facilitating payments and return-to-work activities
- Overseeing and ensuring effective administration of Pension, Medical Scheme Benefit and Wellness Plans for WVM which includes timely and accurate reconciliation and remittance of required payments,
- Designing and delivering employee communications, surveys and information sessions with a view to improving education and engagement on Total Rewards programs in partnership with the Head of department and HR Systems
- Managing all day-to-day vendor interactions, including the resolution of issues and continuously improving the WVM member experience and the effectiveness of WVM administration
- Participating in market networking activities in order to stay abreast of developments in Total Rewards
- Working collaboratively as part of the broader Human Resources team, ensuring common priorities and projects are delivered
SYSTEM ADMINISTRATION
- Ensure that Workday Information System is well updated with information such as contract start/ end dates, emergency contact details, Job titles, grades and correct salary as well as their qualifications and length of service in their field
- Ensure that Workday monthly errors are always below the SAR agreed target of less than 1 %
- Provide appropriate support such as resolving staff queries on the use of Workday and training to all users especially front line staff when needed.
- Ensure that all staff complete their monthly Labour Distribution Reports and that their Managers approve them
GENERAL ADMINISTRATION
- Record Keeping and file Management
- Sensitize staff on benefits and Pension Management issues.
- Participate in Job Evaluation
- Prepare monthly reports for the Dashboard
- Conduct orientation of all new staff members on the use of Workday and how to complete the vital information such as leave requests, Partnering for performance as well as how to complete Labour Distribution Reports
- Responsible for any other duty or duties required by the line manager related to the efficient and effective coordination of the function
