Org. Setting and Reporting This Recruit from Roster job opening is located in the United Nations Integrated Transition Assistance Mission in Sudan (UNITAMS). The United Nations Security Council adopted resolution 2524 (2020) authorizing the mandate of UNITAMS which is to assist the political transition, progress towards democratic governance, in the protection and promotion of human rights, and sustainable peace; support peace processes and implementation of future peace agreements; assist peacebuilding, civilian protection and rule of law, in particular in Blue Nile and South Kordofan (the Two Areas) and Darfur; and support the mobilization of economic and development assistance and coordination of humanitarian assistance.

The position is based in Khartoum, Sudan in the Office of the Deputy Special Representative of the Secretary- General, Resident and Humanitarian Coordinator for Sudan. The incumbent will report to the Special Assistant.

Responsibilities Within the limits of delegated authority, the Senior Staff Assistant will support performance of the following duties:

  • Manage the calendar of meetings and appointments of the DSRSG/RC/HC with senior Government officials, diplomats, heads of international organizations, dignitaries and other high-ranking officials, including administrative and logistical matters.
  • Screens and prioritize all incoming and outgoing correspondence, and where necessary consult the DSRSG/RC/HC.
  • The incumbent routes and distributes routine and confidential material and maintains code cables and general management files.
  • Prepare and administer the DSRSG/RC/HC’s travel programme, including folders for business trips and meetings.
  • Keeps others informed by conveying directives, reports, status updates and other relevant information, and brings sensitive and urgent matters to the attention of the DSRSG/RC/HC.
  • Assists in providing substantive and administrative support in managing priorities and workflow in the office of the DSRSG/RC/HC.
  • Coordinate multiple and diverse activities and work processes to ensure management of directives and decisions.
  • Handle a wide range of administrative duties and processes, leave requests, attendance records, timesheets, travel arrangements, visa applications, expense statements, telecommunications charges, equipment purchase, services and supply requisitions, conference rooms booking, etc.
  • Compile relevant background documents and references, identify issues requiring the DSRSG/RC/HC's attention and refers others to relevant officers for appropriate disposition, monitor and follows-up on actions to be taken.
  • Performs other related work as required within the Pillar.

Uses time efficiently.

Education High School Diploma or equivalent. Additional technical training in secretarial or administration is highly desirable.

Work Experience A minimum of 8 years progressively experience working in a political department and/or working for a high ranking UN Official is required.

Experience working with diplomatic personnel and/or providing services to/or in a field operation of the United Nations Common System or a comparable international organization is required.

Experience working in Sudan and/or other countries of East Africa is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For this position fluency in English, (both oral and written) is required. Knowledge of Arabic is desirable.
