Org. Setting and Reporting This position is located in the Office of the Director of the Division for Management (DM), United Nations Office at Vienna (UNOV / United Nations Office on Drugs and Crime (UNODC), in Vienna. The incumbent will work under the direct supervision of the Director.

Responsibilities The incumbent will be responsible for the following specific duties:

•Assist in the overall administration of the division, i.e. provide substantive and administrative support in managing priorities and work flow of the Office of the Director; coordinate and monitor multiple and diverse activities and work processes to ensure that management directives and decisions are properly carried out and products delivered in a timely manner. •Compile and analyze basic data from a variety of sources, summarizing and presenting conclusions for review by the Director. •Serve as a communications link between the Director and senior staff; on behalf of the Director, keep others informed by conveying directives, reports, status updates and other relevant information; bring sensitive and urgent matters to the attention of the Director. •Take full responsibility for time management and scheduling on behalf of the Director with appropriate consultation as required; effectively prioritize and resolve related conflicts and competing demands. •Undertake representational duties on behalf of the Director, to include serving as first point of contact and liaison with senior officials and their offices, internally and externally as well as Permanent Missions. •Screen and prioritize all incoming correspondence; compile relevant background documents and references; identify issues requiring the Director’s attention and refer others to relevant officer for appropriate disposition; monitor and follow-up on actions to be taken. •Review and post special messages submitted by offices within UNOV/UNODC to ensure their suitability for posting and liaise with the relevant office in case modifications are needed. •Research, compile and summarize background materials for use in preparation of reports, briefs, speeches. •Independently handle a wide range of complex information requests and inquiries (e.g. answer requests requiring file or other research); respond, or draft responses, to a diverse range of correspondence and other communications. •Support the Director in presentations to meetings, compiling briefing notes and gathering relevant documentation, etc. •Establish/improve administrative procedures and systems to ensure smooth functioning of the Division, including filing (paper and electronic) systems. •Organize official receptions, meetings, etc., handling all necessary arrangements (e.g. room reservations, guest/participant lists, invitations, catering, seating arrangements, background documentation, special equipment, etc.). •Prepare, process and classify confidential information. •Handle a wide range of administrative duties/processes (e.g. leave and attendance records, timesheets, travel arrangements, visa applications, expense statements, telecommunications charges, equipment purchase, service and supply requisitions, conference room bookings, etc.). •Perform other work-related duties as assigned.

•Planning & Organizing - Develops clear goals that are consistent with agreed strategies; identifies priority activities and assignments; adjusts priorities as required; allocates appropriate amount of time and resources for completing work; foresees risks and allows for contingencies when planning; monitors and adjusts plans and actions as necessary; uses time efficiently. •Communication: Speaks and writes clearly and effectively; listens to others, correctly interprets messages from others and responds appropriately; asks questions to clarify, and exhibits interest in having two-way communication; tailors language, tone, style and format to match audience; demonstrates openness in sharing information and keeping people informed.

Education High school diploma or equivalent. Supplemental courses/training in office management or other relevant office/administrative support field are desirable.

Work Experience A minimum of seven years of progressively responsible work experience, including provision of administrative and office management assistance to senior officials involving wide contact with diplomatic personnel and various offices of the United Nations System, is required. Experience in using computer applications such as word processing, spreadsheets, internet, slide preparation, etc. is required. Experience in using advanced functions of the United Nations’ standard computer applications, e.g. the Enterprise Resource Planning (ERP) application such as Umoja, Lotus Notes (or other standard enterprise software), is desirable. Experience in website management, graphics and desktop publishing software is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English, i.e. oral and written proficiency, is required. Knowledge of German or another official United Nations language is desirable.

Assessment Evaluation of qualified candidates may include an assessment exercise and a competency-based interview.

Other Skills and Requirements Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. The GGST is a proctored entry-level examination at the duty station. Any travel expenses incurred in order to take the examination are the responsibility of the candidate and will not be reimbursed by the Organization.

Having passed the Administrative Support Assessment Test [in English] at the United Nations headquarters, Economic Commission for Africa, Economic and Social Commission for Western Asia, United Nations Office at Geneva, United Nations Office at Vienna, International criminal tribunal for Rwanda or International Criminal Tribunal for the former Yugoslavia may be accepted in lieu of the GGST.
