THE ROLE AND ORGANIZATIONAL CONTEXT

This position is located in the Global Privacy Office (GPO) of the World Food Programme Headquarters in Rome, Italy.

Under the direct supervision of the Global Data Protection Officer (DPO), the Senior Project Manager will provide strategic, managerial, technical and operational support to the DPO in the achievement of results, work closely with the GPO and contribute to overseeing the successful implementation of a comprehensive Privacy Program across all division-wide organization, in a consistent and coordinated manner.

WFP has started in a transformation journey to become a flexible, customer-centric, leader. This requires the Director of the GPO to be strategically supported by an analytical, target-driven and highly organised individual who can ensure projects and programmes are effectively and efficiently implemented, to meet the GPO goals on its delivery of key WFP corporate priorities.

As Senior Project Manager, you will either support or lead on multiple initiatives, where the development has already taken place; you will be expected to transform these initiatives into action, overseeing the day-to-day delivery by working with a broad range of colleagues, partners and other internal and external stakeholders.

KEY ACCOUNTABILITIES (not all-inclusive)

You will:

  • Contribute towards the development of a wide variety of programmes/initiatives, plans and processes, ensuring alignment with the Data Protection and Privacy Program and the divisional goals;
  • Under the leadership of the DPO, manage the overall planning, coordination and monitoring of the GPO’s work plan and corporate strategic priorities;
  • Lead the preparation of reports, background papers and talking points, notes for the record, presentations, and prepare briefs for the Director for both external and internal stakeholders;
  • Establish continuous liaison and collaboration with internal and external counterparts to ensure effective relationships, monitor ongoing projects and taskforces and highlight potential risks to project delivery;
  • Design and develop divisional processes for managing strategic work and ensure seamless handover to RBs and COs for further implementation at the operational level;
  • Identify and develop new strategic partnerships and maintain established strategic partnerships to identify opportunities for collaborative approaches and initiatives;
  • Provide input to support the Director’s engagements in the field, ensuring preparatory work and follow-up of selected meetings and official missions, supporting the design of their agenda, compilation of background material and talking-points, dissemination of relevant information and follow-up to commitments;
  • Monitor, analyze and report on humanitarian developments, emergency situations, UN-related affairs or any other areas of relevance to the GPO;
  • Under the overall guidance of the DPO, supports and works with other colleagues to advance strategic initiatives and projects.
  • Develop and coordinate data gathering/inputs for cross-divisional and corporate reporting and monitoring systems ensuring that rigorous quality standards are maintained;
  • Proactively contribute ideas for improvement to systems, techniques, tools, processes and procedures;
  • Assist the Director in the daily operations to achieve the objectives of the GPO, and provide supporting input and mentoring to the Director’s back-office resource;
  • Provide substantive backstopping to consultative and other meetings, conferences, workshops, to include proposing agenda topics, identifying participants, preparation of documents and presentations;
  • Formulate and collect feedback and report on performance and lessons learned;
  • Facilitate the coordination of high-level events;
  • Ensure confidentiality and data protection on all subject matters are maintained as required.
  • Other duties as required.

DELIVERABLES AT THE END OF THE CONTRACT

  • All key initiatives, plans, reports and inputs are completed in a timely and effective manner.
  • Regular feedback provided to the DPO.

QUALIFICATIONS AND KEY REQUIREMENTS

EDUCATION:

You have:

  • Advanced university degree in economics, law, business administration, international relations, political science or related field. Or First University Degree with additional years of experience in a relevant field.
  • Project management certification(s) is highly desirable.

EXPERIENCE:

You have:

  • Minimum 8 years of relevant professional experience including relevant work experience in WFP or other United Nations system in programme management, project management and strategic advisory support and oversight to senior management.

LANGUAGE:

You have:

  • Fluency (level C) in English language.
  • Intermediate knowledge (level B) of a second official UN language: Arabic, Chinese, French, Russian, Spanish, and/or Portuguese (A WFP’s working language).

  • Advanced technical knowledge in monitoring and data analysis through professional work experiences.
  • Excellent ability in implementing monitoring activities, data gathering and analysis.
  • Outstanding communication, verbal and written. Demonstrated negotiating, cultural sensitivity and diplomatic skills.
  • Excellent drafting skills with the ability to draft, edit and clear reports, speeches and correspondence.
  • Strong planning, goal-setting, prioritization, project and time management skills, with the ability to coordinate and track multiple projects simultaneously and able to work under pressure.
  • Strong analytical and problem-solving skills.

ADDITIONAL/NICE-TO-HAVE REQUIREMENTS

  • Knowledge of the humanitarian environment is desired.
  • Field experience, auditing experience and donor capital experience .
  • Familiarity with WFP and the UN system will be regarded as an asset.

TERMS AND CONDITIONS

Limited Fixed-Term Appointment (LFT) position is a non-mobile staff appointment in the international professional category for a limited period for up to 2 years. The position is based in Rome, Italy and the selected candidate will be expected to relocate. Incumbents of LFT positions are not eligible to apply for other mobile positions advertised internally through the Reassignment

Mobility is and continues to be a core contractual requirement in WFP. This position is however classified as “non-rotational” which means the incumbent shall not be subject to the regular reassignment process unless the position is reclassified as rotational.
