Org. Setting and Reporting The position is located in the United Nations Development Coordination Office (UNDCO) Headquarters in New York. While the incumbent works directly with the UNDCO Assistant Secretary-General (ASG), she/he reports to the Chief of Staff.

Responsibilities Within delegated authority the incumbent will be responsible for the following duties:

  • Manages the schedule and travel of the ASG
  • Coordinates the tasking cycle with the wider DCO for the preparation, timely submission and quality assurances of the briefing material for the ASG, working closely with the Special Assistant to the ASG.
  • Supports UNDCO Management Team in the monitoring of decisions and completion of follow-up actions.
  • Maintains contact databases and mailing groups.
  • Facilitates the ASG's interaction with UN offices including UNSDG member entities, Member States and external partners.
  • Directs the information flow in the Office of ASG.
  • Ensures high-quality substantive outputs while respecting confidentiality requirements.
  • Provides guidance, training and supervision to support staff to ensure adequate programme support to UNDCO Director.
  • Identifies and resolves diverse issues/problems as they arise and determines appropriate actions.
  • Coordinates extensively with service units and liaises frequently with internal team members both at Headquarters and in the field with particular attention to the support of the Resident Coordinator system and United Nations Country Teams (UNCTs).
  • Researches, compiles, analyses, summarizes, and presents basic information/data on wide range of sustainable development issues within the UN and topics related to the mandate of UNDCO, highlighting noteworthy issues/trends for consideration by appropriate parties.
  • Establishes internal databases; sets up, files, stores and manages data and information relevant to the scope of programme/project activities.
  • Performs other duties as assigned.

Work implies frequent interaction with the following: EOSG, RCs, RCOs, UN entities, Member States and external partners DCO staff Administration/Finance/Budget, Human Resources, Facilities Management, Meeting service Department, OICT etc.

Results Expected: Provides the full range of programme/project management assistance to the ASG and the wider DCO. Thoroughly understands the context of programmes/projects and issues and independently handles a wide range of activities and follow-up action. Demonstrates initiative in the identification and resolution of a wide range of issues/problems, and effectively handles unforeseen situations. Establishes well organized internal databases and information management systems. Effectively organizes and supervises office support staff.

Consistently applies appropriate policies, guidelines and procedures. Effectively, and in a timely manner, liaises and interacts with colleagues and concerned parties internally and externally.

Competencies - Professionalism: Knowledge of internal policies, processes and procedures generally and in particular those related to programme/project administration, implementation and evaluation, technical cooperation, programming and budgeting. Understanding of the functions and organization of the work unit and of the organizational structure and respective roles of related units. Ability to identify, independently assess, formulate recommendations and/or resolve a wide range of issues/problems, undertake research and gather information from standard sources and to work well with figures including ability to analyze and understand financial data. Ability to design information data bases from multiple sources into an integrated programme evaluation system. Ability to direct, supervise and train office support staff. Demonstrated ability to apply judgment in the context of assignments given and discretion, resourcefulness and ability to deal proactively and tactfully with offices throughout the organization.     Education High school diploma or equivalent.

    Work Experience A minimum of ten years of progressively responsible experience in programme or project support and administration, technical cooperation or related area is required.

    A minimum of two years of experience with inter-agency or inter-organizational collaboration is required.

    A minimum of five years of experience providing personal assistance and administrative support in the front office of senior management is highly desirable.

    Experience working in the United Nations System or a comparable international organization is desirable.

    Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage

    Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
