Org. Setting and Reporting This position is located in the Supply Chain and Procurement Section (SCAPS), Executive Office (EO), in the Office for the Coordination of Humanitarian Affairs (OCHA), in Geneva. OCHA is part of the United Nations Secretariat responsible for bringing together humanitarian actors to ensure a coherent response to emergencies. OCHA also ensures there is a framework within which each actor can contribute to the overall response efforts. OCHA's mission is to mobilize and coordinate effective and principled humanitarian action in partnership with national and international actors in order to alleviate human suffering in disasters and emergencies; advocate the rights of people in need; promote preparedness and prevention and facilitate sustainable solutions.

The incumbent reports to the Chief of Requisitioning, Asset Management, and Logistic Unit, SCAPS, EO.

Responsibilities Within the delegated authority, the Senior Logistics Assistant will be responsible for the following duties:

Supply: Assists the Country Offices (current and new operation) with the Property Management. Management of Rapid Deployment Stock at Geneva and Virtual locations. Coordinate the yearly Physical verification of fixed assets and serialized equipment for Country Offices. Develop and provide guidance/training to Country Office And HQ in the area of assets management. Review and clear the property disposal requests from country offices for final approval by the Delegated Official in line to the Delegation of Property Disposal. Ensure the disposal process is completed and records in ERP system updated. Perform the Certifying role for Low Value Acquisition whenever is required.

Logistics: Supervise the Logistic Assistants and the consultant to ensure the deadlines and requirements are met. Overlook the logistics functions to ensure timely shipment of OCHA goods to Country Offices. Prepare and coordinates the shipment of goods under Corporate Emergency. Liaise with various stakeholders to ensure the efficiency of shipments of goods for normal operation and operations under L3 corporate emergency. Maintain cross-functional relationships concerning to the status of procurement, delivery, financial, and insurance matters.

General tasks: Management of Purchase Orders to follow up for delivery, payment, and closure of the PO. Initiates requisitions and performs technical evaluations. Management of various SCAPS Dashboards for procurement, requisitioning and logistic. Prepare and assist with yearly/Adhoc reports and audit queries. Performs other duties as required.

Takes personal responsibility for his/her own shortcomings and those of the work unit, where applicable.

Education High school diploma or equivalent is required.

Job - Specific Qualification Professional certification Chartered Institute of Purchasing and Supply certification (CIPS Level 2) is desirable.

Work Experience A minimum of 10 years of experience in administrative services, finance, accounting, audit, logistics, procurement, or related areas is required.

Experience working with national and international logistics is desirable

Experience working with ERP systems for Asset Management is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is desirable.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice Appointment or assignment against this position is for an initial period of one year. The appointment or assignment and renewal thereof are subject to the availability of the funds.
