Background/IRC Summary:

The International Rescue Committee (IRC) responds to the world’s worst humanitarian crises, helping to restore health, safety, education, economic wellbeing, and power to people devastated by conflict and disaster. Founded in 1933 at the call of Albert Einstein, the IRC is at work in over 40 countries and 26 U.S. cities helping people to survive, reclaim control of their future, and strengthen their communities. The IRC has been operating in Thailand since 1975 and currently provides assistance to displaced persons in Tak, Kanchanaburi, Ratchaburi, and Mae Hong Son provinces.

Job Overview/Summary:

As a member of the IRC Thailand Programs and Awards Management Unit, the Senior Grants and Communication Manager will play a crucial role in managing grants and providing communication support to the IRC Thailand Country office. Based in Bangkok with periodic travel to IRC Thailand’s field offices, the Senior Grants and Communication Manager will report to the Senior Awards Management Coordinator and will work closely with Program, Partnerships, Monitoring and Evaluation (M&E), HR, Finance, Operations and Supply Chain teams. The Senior Grants and Communication Manager will collaborate with program, M&E, finance, supply chain staff and other relevant teams to ensure accurate and timely programmatic and financial reporting of the assigned portfolio of awards (public and private). The Senior Grants and Communication Manager will support the Sr. Awards Management Coordinator in submitting programmatic and financial reports as per donor’s guidelines and requirements and IRC’s policies and procedures. The Senior Grants and Communication Manager will be responsible for managing effective communication strategies to enhance IRC Thailand’s visibility and impact. The Senior Grants and Communication Manager will coordinate with IRC’s Global Communications Unit and IRC’s Awards Management Unit (AMU), especially the Asia Regional Program and Awards Support (RPAS) team.

Major Responsibilities:

• Coordinate with relevant teams to prepare accurate programmatic and financial reports as per donor’s schedule, guidelines and requirements and IRC’s policies and procedures. • Coordinate with field offices to gather necessary information, provide guidance and support on grant related matters, and ensure adherence to IRC’s grant management procedures and policies. • Maintain a comprehensive grants calendar, tracking deadlines and ensuring timely submission of reports. • Create a new funding opportunity on IRC’s grants management application (Opportunity Tracking and Implementation System – OTIS), ensuring that data is up to date and accurate and relevant documents are uploaded to the system in a timely fashion. • Coordinate with relevant teams to prepare Thailand Country Program Update, Thailand Information Sheet, Thailand Program Sector Factsheets, IRC Thailand Situation Reports, IRC Asia Overview, and other donor documents. • Act as the focal person for sharing regular updates (sitreps, situation reports etc.) to different stakeholders including government, implementing partners and donors. • Coordinate with program, partnerships. and M&E to prepare human interest stories for sharing with internal IRC and donors including IRC’s Global Communications team. • Work with IRC’s Global Communications team and a consultant as required to prepare compelling content for various communications channels including IRC’s website (RescueNet), social media, newsletters, press releases, and annual reports. • Provide guidance and support to program team in developing communication materials, including presentations and the proper use of IRC’s and donor’s branding and marking. • Facilitate administrative and logistics support for HQ and donor visits to the IRC Thailand project activities. This includes preparing relevant briefing documents and materials under the guidance and oversight of the Sr. Awards Management Coordinator. • Provide guidance and training to staff on donor reporting and communication activities. • Represent the IRC Thailand Programs and Awards Management Unit during project cycle meetings with IRC Thailand team and other relevant local partner organizations as required. This includes preparing an agenda and taking minutes at meetings. • Coordinate with relevant departments to manage scheduled program reports and proposals to the Ministry of Interior (MOI) and the Ministry of Labor (MoL), ensuring accuracy and timely submission of the reports and proposals. • Work with the Sr. Awards Management Coordinator to facilitate other program activities in the field, such as trainings and workshops. • Support the Sr. Awards Management Coordinator with any other management/administrative tasks as assigned.

Qualifications

Job Requirements:

• Bachelor’s degree required, coupled with a strong interest in refugee/migrant and related issues. • Minimum of 5 years of experience in grants management, including grants reporting, project management, preferably within the non-profit sector. • At least 3 years professional experience in international humanitarian/development work. • Proven ability to develop and maintain organized and streamlined systems for managing processes and tracking status and progress. • Excellent writing and editing skills, with the ability to create persuasive and well-structured reports and communication materials. • Highly developed organizational skills and systematic process management ability • Ability to work autonomously in scheduling and prioritizing within tight deadlines and focus on high quality work product. • Self-directed but with strong interpersonal skills and the ability to work well within a team. • Ability to collaborate well and provide leadership, direction, partnership, and support. • Competence working in a multi-cultural environment with people from different backgrounds and levels of experience. • Proficiency in Microsoft Office applications: Word, Excel, Outlook, PowerPoint and project management tools. • Comfort with web-based databases and platforms; ability to learn new systems quickly. • Excellence in written and spoken English and Thai.

Working Environment:

The position is a NATIONAL post and will be based in the IRC office in Bangkok, with travel to the Thailand-Myanmar border area as required.
