How can you make a difference?

A challenging and exciting opportunity has arisen within UNICEF Zimbabwe's Office of the Representative, for a passionate and committed Senior Executive Associate on temporary appointment basis (364 days).

Under the supervision of the Representative, the Senior Executive Associate is accountable for procedural communications, operations and administrative support services to enhance the smooth running of the Front Office day-to day activities.

Summary of key functions/accountabilities:

1. Provide support to the Representative in his/her oversight role and corporate responsibility of managing the country office and ensuring that the Country Management Team (CMT) plays a pivotal role in providing strategic direction to the Country Office.

  • Serve as secretariat for the monthly Country Management Team (CMT) meeting. Compile agenda items for the CMT meeting for review by the Representative.
  • Record comprehensive and accurate CMT minutes and action points. Share the minutes and action points with the CMT within 7 working days.
  • Follow up on implementation of CMT action points. Raise any areas of concern related to implementation of the action points with the Representative prior to the next CMT meeting.

2. Support effective coordination and preparation of correspondences (internal and external) and administrative measures for smooth running of the Front Office

  • Coordinate the timely registration, clearance and distribution of all incoming correspondence.
  • Review all internal correspondence prior to the Representative's signature. Format and edit the correspondence to ensure use of correct templates and compliance with UNICEF global standards. Draft internal communication to staff and external correspondence to UNICEF Partners as requested and advised by the Representative.
  • Registry of all invoices for the whole office in UNICEF Push and Track system to reduce duplication of payments prior to processing by Finance section.
  • Ensure effective preparations for the Representative’s interactions and communication with partners.
  • Provide support to planning for the Representative's meetings with Senior Government Officials and Development Partners ensuring timely preparation and consolidation of relevant briefing notes and background information ahead of the meetings.
  • Arrange meetings and maintain the Representative's schedule including arranging virtual meetings on behalf of the representative and ensure relevant focal points required to join the meetings are notified in advance.
  • Organize official travel on behalf of the Representative, including arranging itinerary, visas, and hotel reservations in compliance with UNICEF rules and regulations.
  • Maintain and accurate and updated list of UNICEF Partners (Government, Donors, UNCT & NGOs). Review and update the list of Partners every month.
  • Ensure availability of administrative supplies and office equipment for the Representatives Office.

Impact of results

In addition to the impact at the GS-6 level, s/he is accountable for applying a broad range of specialized administrative rules and procedures in the coordination of administrative support to the senior staff member and his/her section served. In addition, they represent the supervisor in communications involving the exchange of non-routine information, coordinating and following up on deadlines as well as establishing and maintaining communications with counterparts within UNICEF and partner organizations. Efficiently initiating, monitoring and ensuring provision of such services allows the supervisor to focus on substantive core work.

To qualify as an advocate for every child you will have…

  • Completion of secondary education is required, preferably supplemented by technical or university courses related to the field of work.
  • Training and experience using MS Word, Excel, PowerPoint and other UNICEF software such as SharePoint; knowledge of integrated management information systems required.
  • Thorough knowledge of UNICEF’s organizational structure, administrative policies and procedures.
  • Organizational, planning and prioritizing skills and abilities.
  • Ability to deal patiently and tactfully with visitors.
  • High sense of confidentiality, initiative and good judgment.
  • Ability to work effectively with people of different national and cultural background.
  • A minimum of six years of relevant administrative or clerical work experience is required.
  • Fluency in English is required. Knowledge of another UN language or local language of the duty station is considered as an asset.
