Provide high-level administrative and operational support to the supervisor.

You have:

  • Training and experience using MS Word, Excel, PowerPoint and other UNICEF software such as SharePoint; knowledge of integrated management information systems required.
  • Thorough knowledge of UNICEF’s organizational structure, administrative policies and procedures.
  • Organizational, planning and prioritizing skills and abilities.
  • Ability to deal patiently and tactfully with visitors.
  • High sense of confidentiality, initiative and good judgment.
  • Ability to work effectively with people of different national and cultural background.
  • Ability to work in a team environment to achieve common goals and to provide guidance to more junior support staff.

Contract

This is a UNV National Specialist contract. This kind of contract is known as National UN Volunteer. It is normally only for nationals. More about UNV National Specialist contracts.

UNICEF started work in Timor-Leste in 2001 with the signing of the first Country Programme of Cooperation between the Government of Timor-Leste and UNICEF. UNICEF works in partnership with the Government, other UN agencies, development partners, community-based organizations and civil society partners, to enable children and their families to realize their rights, fulfill their potential. I. Communication Support • On behalf of supervisor, manage incoming and outgoing correspondence, e-mails and telephone calls. • Communicate sensitive information to higher level managers. • Provide routine information pertaining to the work of the division/office. • Draft responses to written inquiries on routine questions. • Coordinate responses to sensitive inquiries. • Follow up on established deadlines and ensuring timely submissions by staff of reports, correspondence and other documents.

II. Administrative Support • Maintain the supervisor’s calendar and arrange meetings. • Organize official travel on behalf of supervisor. • Preparing briefing materials for official trips or meetings. • Prepare documentation for the supervisor’s signature reviewing for style, factual and grammatical accuracy.

III. Operations Support • Supports capacity development activities and conferences by making the logistical arrangements, through engaging with facilitators, caterers and hosts. • Maintains and updates a system which monitors the absence of staff. • Supports management of administrative supplies, office equipment, and updating the inventory of items.

As it is a national UN Volunteer's assignment, the UN volunteer shall organize his/her accommodation by themselves.

Entitlements of National UN Volunteer (Specialist)

The contract lasts for the period indicated in the vacancy with the possibility of extensions subject to availability of funding, operational necessity, and satisfactory performance. This is a full-time contract.

Allowances: • Volunteer Living Allowance (VLA): A Volunteer Living Allowance (VLA) USD 762.58 is provided monthly to cover housing, utilities, and normal cost of living expenses. • USD 400 entry lump sum, one-time payment. • USD 63.54/month exit lumpsum, paid at the completion of the assignment

Medical and life insurance: • Medical insurance: The UN Volunteer and eligible PFU dependents will receive UNV provided medical insurance coverage. Coverage for UN Volunteers begins from the Commencement of Service and normally ceases one month after the last day of the UN Volunteer Contract date. • Life Insurance: UN Volunteers are covered by life insurance for the duration of the UN Volunteer assignment. If a UN Volunteer dies during the UN Volunteer assignment, the eligible designated beneficiaries will be entitled to receive a life insurance lump sum.

Leave entitlements: • Annual leave:  UN Volunteers accrue an entitlement to 2.5 days of Annual Leave per completed month of the UN Volunteer assignment. Unused accrued Annual Leave up to a maximum of 30 days is carried over in case of a contract extension within the same UN Volunteer assignment. Unused accrued Annual Leave may not be carried over in case of reassignment or a new assignment. • Learning leave: Subject to supervisor approval and exigencies of service, UN Volunteers may request up to ten working days of Learning Leave per consecutive 12 months of the UN Volunteer assignment, starting with the Commencement of Service date, provided the Learning Leave is used within the contract period. • Certified Sick Leave: UN Volunteers are entitled to up to 30 days of certified sick leave based on a 12-month cycle. This amount is reset every 12-month cycle. • Uncertified Sick Leave: UN Volunteers receive seven days of uncertified sick leave working days in a calendar year. This amount will be reset at the established interval period.
