Senior Business Analysis Assistant

Organizational Setting and Work Relationships The Senior Business Analysis Assistant normally functions under the direct supervision of a more senior business analyst or IT staff. The incumbent supports the ongoing and overall end-to-end integration of ERP modules within the Area of Responsibility (AoR). System change requests are often in relation to policy changes or the re-engineering of procedures, or key initiatives. The incumbent supports translating business requirements into specifications for IT developers inside and/or outside of UNHCR. The incumbent will work closely with the supervisor and with colleagues from the respective Division towards enhancement and automation of business processes using technology. As needed, the incumbent will also assist the supervisor in analysis and testing of ERP functionality changes within the AoR which may result from technical/image upgrades. S/he will assist the supervisor with day-to-day support to the users as needed.

Duties - Assist in gathering requirements for ERP change requests within the AoR and in solutions and design for business process challenges, using technology. - Assist in re-engineering/enhancement of business processes or current ERP module/functionality within the AoR, to ensure compliance with policies and administrative instructions, with the goal of improved efficiency for users through self-service/process automation. - Assist in coordination of user testing and perform testing as needed on behalf of the future system user. - Assist in process improvement discussions within the AoR, looking for streamlining opportunities with a view of standardizing and simplifying processes and services. - Prepare end-user training materials and assist in formulating training approaches aligned with the functionality being deployed. - Provide post-change follow-up and user support to ensure successful stabilisation.

- Support the identification and management of risks and seek to seize opportunities impacting objectives in the area of responsibility. Ensure decision making in risk based in the functional area of work. Raise risks, issues and concerns to a supervisor or to relevant functional colleague(s). - Perform other related duties as required.

Minimum Qualifications

Years of Experience / Degree Level For G5 - 2 years relevant experience with High School Diploma; or 1 year relevant work experience with Bachelor or equivalent or higher

Relevant Job Experience Essential Work experience with IT systems and in business analysis. Prior experience with ERP. Experience in finding technical solutions and efficiencies for business process challenges. Proven ability to deal with multiple tasks in a courteous and service-oriented manner in demanding working conditions that often have short deadlines.

Desirable Demonstrated ability to learn new software tools and methods of supporting business processes. Demonstrated ability to manage tasks to a target timeline. Experience with UN or International Organization rules/procedures and processes. Experience with UNHCR business functions and/or policies and practices.

The desired candidate profile, besides meeting the general requirements, would meet the following:

• Ability to support initiatives driving organizational change and innovation. • Experience in utilizing Workday Learning and Workday Extended Enterprise functionalities. • Familiarity with the UNHCR-AGORA learning management system. • Strong interpersonal skills to act as a focal point in liaising with the IT division. • Ability to ensure seamless communication and collaboration between business operations and technology teams. • Experience in managing relationships with external learning service providers. • Familiarity with catalog providers such as LinkedIn and Coursera. • Ability to contribute to content mapping for the GLDC, ensuring alignment with organizational goals. • Analytical skills to contribute to process improvement discussions. • Proactive in seeking opportunities to standardize and simplify processes within the designated Area of Responsibility (AoR). • Proficiency in utilizing tools such as Microsoft Forms, Microsoft Automate, Microsoft Lists, PowerBI, Excel, and SharePoint to enhance and streamline business processes related to applications and data. • Ability to stay informed about developments in learning management systems, digital transformation, virtual reality, and relevant areas impacting the designated area of responsibility. • Effective time management skills to manage priorities and ensure tasks are completed within set timelines. • Ability to adapt to changing priorities and responsibilities. • Strong written and verbal communication skills for effective collaboration and information sharing. • Ability to work collaboratively within an agile team environment. • Strong problem-solving skills to address challenges and find effective solutions. • Attention to detail in performing tasks and ensuring accuracy.

For G5 - 2 years relevant experience with High School Diploma; or 1 year relevant work experience with Bachelor or equivalent or higher. NOTE: A completed and relevant minimum first level university degree (equivalent to BA or higher) shall count in full (100%) towards the required years of work experience. Priority will be given to eligible applicants meeting the full requirements

Remuneration: In case of appointment, a competitive compensation and benefits package is offered. G5 - Salary range: NET 498,349 HUF - NET 583,795 HUF.

Benefits: Annual leave: UNHCR staff members holding a fixed-term appointment will accrue annual leave at the rate of 2.5 working days for each full calendar months of service (i.e. 30 working days per year).

Pension system: Staff members holding a fixed-term appointment will become participants in the United Nations Joint Staff Pension Fund (UNJSPF).

Nature of Position:

The Senior Business Analysis Assistant will report to the Head of the Talent Architect unit. The principal role of the incumbent is to support ongoing and overall project design, development, and implementation within the Area of Responsibility (AoR). System change requests often relate to policy changes, procedure reengineering, or key initiatives such as Strategic Workforce Planning and Digital Transformation. The incumbent will work closely with stakeholders involved in the Digital Transformation Strategy and other colleagues related to the Division of Information Systems and Telecommunications. As needed, the incumbent will also assist in analyzing and testing Workday ERP functionality changes that may result from technical/image upgrades. The incumbent will assist with day-to-day support for the users as needed per the escalation of issues.
