Under the guidance and supervision of the Administrative Specialist, the Senior Administrative Associate is accountable for the overall data generation and reporting of UNICEF premises and vehicles globally as well as the funds allocated for construction and renovation works in all premises of UNICEF country offices. He/she will also update premises data with details of available facilities, sharing agencies and staff, agreement validation, use of funds for construction/renovation etc. He / She is also responsible for the follow-up and data update and support of asset records in vision.

How can you make a difference?

Under the direct Supervision of the FSU Administrative Specialist, the Sr. Admin Associate will have the following duties and responsibilities:

  1. Support the real time premises data management, continuously follow up and update data whenever a change occurs.

  2. Follow-up the management of assets and the status of PSB process globally and advise country offices on the processes.

  3. Support and keep records of premises and facilities including accessibility requirements and vehicles which fall under FSU portfolio.

  4. Compile and prepare data on premises and facilities categorized as needed and share to staff and Management to help further review, analysis, plan and decision making.

  5. Assist in general Administrative matters including but not limited to new staff on boarding, arranging meetings and compiling data and documents.

  6. Keep record of approved funding support to COs for premises construction and renovation works and advise offices regularly on the utilization.

  7. Compile the annual work plan and budget of the Unit in collaboration with the Admin Specialists and follow up implementation.

  8. Serve as back up in case of the absence of the Administrative specialist and Assistant.

  9. Perform other related duties required by the Supervisor.

To qualify as an advocate for every child you will have…

  • High school (12 grade) complete complemented with university course in areas of Administrative Management
  • A minimum of seven years of relevant experience, in administrative works.
  • Previous hands-on-work experience in a data management and analysis works.
  • Previous experience on budget preparation and control functions
  • Prior work experience with other UN entities and government on administrative, logistics, financial and protocol matters is highly desirable.
  • Developing country work experience and/or familiarity with emergency is considered an asset.
  • Experience/Knowledge of report writing
  • Adept knowledge of Microsoft
  • Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.

  • Applicants are required to be nationals of the US or have a valid US visa and be able to work legally in the US.
