A Secretary in the Cooperation Section (initial two-year contract, with the possibility of extension).
We are The European Union (EU) is an economic and political partnership between 27 European countries. It plays an important role in international affairs through diplomacy, trade, development aid and working with global organizations. Abroad, the European Union is represented through more than 140 diplomatic representations, known also as EU Delegations, which have a similar function to those of an embassy.
The EU Delegation to the Arab Republic of Egypt, Cairo works in close coordination with the Embassies and Consulates of the 27 EU Member States. We are a fully-fledged diplomatic mission and represent the European Union in dealings with the Egyptian government in areas that are part of the EU’s remit.
We offer A post of Secretary (Local Agent Group 3) in the Delegation’s Cooperation Section. The team consists of 29 people and there are occasional atypical working hours.
Under this post, the recruited person will be attributed functions depending on the needs of the Delegation, and on the changes of these needs. The successful candidate will serve under the supervision and responsibility of the Head of Delegation and the Head of the Cooperation Section, providing essential administrative and logistical support in the organization, planning, coordination and implementation of internal and external meetings and events, including cultural events and incoming missions.
Following main tasks and duties are currently required:
- Support the logistical organisation of internal and external meetings and events, including securing internal or external venue arrangements, managing invitations and RSVPs, preparing meeting and event materials and coordinating catering services as required;
- Drafting, formatting and disseminating agendas, invitation letters/emails, meeting notes and background materials;
- Prepare and update guest lists and seating plans;
- Maintain accurate and up-to-date records of stakeholders, partners and contacts;
- Attend meetings and events to provide on-site support;
- Ensure the smooth execution of activities, including reception of the guests, registration and solve logistical issues promptly;
- Assist in the design and preparation of cultural activities and engagement programmes;
- Liaise with cultural organisations, community groups and relevant stakeholders;
- Conduct background research and support planning for cultural visits or outreach events;
- Assist in organizing incoming missions, including coordinate with the Administration Section logistics such as airport pick-ups, accommodation details, etc.;
- Support protocol arrangements in line with the Delegation’s procedures;
- Answer and route phone calls and respond to enquiries linked to the sphere of activities;
- Provide secretarial support, including document filing, scheduling appointments and coordinating calendars;
- Back-up of secretaries whenever required.
The base salary will depend on relevant and verified employment experience, typically starting from EUR 1,027 payable in Egyptian Pounds based on the inforeuro rate of the month of payment. There is a competitive benefits package, subject to certain conditions, including personal leave days and public holidays, health insurances and a retirement savings plan.
The expected start date will be 01/11/2025.
Minimum requirements / eligibility criteria (necessary for the application to be considered)
· High School Degree or equivalent; · Minimum 3 years of experience as Secretary in the field of management and coordination of events; · Excellent knowledge (C2 level in CEFR) of English and Arabic (written and spoken); · Excellent computer skills and knowledge of office software and IT tools (Words, Excel,…); · Right to residence and work in Egypt (if no Egyptian national, please add a copy of your residence visa and work permit in your application).

· University level education; · Experience of working in a team in multi-disciplinary and multi-cultural environment; · Having a good understanding of the values and of the mission of the European Union; · Previous experience in European and/or international organization’s cooperation; · Previous professional experience in Member States of the European Union; · Knowledge of other EU language(s); · Performing high professional standards with regards to reliability, confidentiality, personal integrity, loyalty and flexibility; · Having the capacity to focus on priorities and to organize work to deliver on time; · Teamwork fluency and capacity to work under pressure and to respond quickly to new demands; · Having the capacity to communicate clearly and concisely (orally and in writing); · Resilience to stress.

The process
After the deadline for applications, the eligible applications will be admitted to the Selection by the Committee set up for this purpose.
