STANDARD MINIMUM QUALIFICATIONS
Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable. Experience: Four or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.

ORGANIZATIONAL CONTEXT
These jobs are found in Country Offices (COs), Regional Bureaux (RBs), and Headquarters (HQ). Job holders performing front office management functions typically report to the Deputy Directors or Head of Offices. In cases where these positions support a specific business stream, the reporting line may be to the Head of Unit, Chief, or the designate. At this level job holders are expected to take responsibility for completion of a range of business support activities requiring some interpretation of standard guidelines/practices. Job holders are able to recommend a course of action to staff at various levels and may allocate tasks to more junior colleagues.
JOB PURPOSE
To coordinate receipt/dispatch and verification of ICT equipment to maximize quality of store operations and mitigate losses and ensure implementation of the best storage management practices and compliance with WFP assets guidelines and standards.
KEY ACCOUNTABILITIES (not all-inclusive)
- In coordination with SCOPE ICT team in Juba and field office coordinate and /or receive/dispatch SCOPE ICT equipment against official approved documentation (e.g. assets transfer request, waybills and/or delivery notes, assets loan form) ensuring accuracy in physical count of ICT equipment in compliance with the established standards.
- Review, verify and sign off SCOPE store documents, and ensure accurate maintenance of confidential files and SCOPE store transaction records to enable immediate reporting on ICT equipment movements in line with the corporate requirements.
- Conduct, assets labeling, reconcile and accurate inventory checks supporting internal control systems in compliance with the assets management requirements.
- Perform regular inspections of the assets in the country office and field office and prepare reports on the quantity of the equipment received/dispatched and handled, detect promptly and analyses reasons for stock discrepancies/damages, investigate missing quantity and prepare SCOPE store loss reports recommending appropriate solutions, to enable informed decision-making.
- Support regular physical stock inventory exercise, to ensure compliance with IPSAS and standard business requirements. Ensure the movement of the assets well reflect in GEMS.
- Implement appropriate measures to safeguard ICT equipment, to ensure quality control using standard preventive measures in line with WFP established procedures.
- Monitor condition of the store and equipment and take appropriate actions, to support efficient store space-planning and well-organized equipment storage.
- Provide supervision, guidance and on-the-job training to store staff supporting their development and high performance.
- Assist in beneficiary’s registration, card printing, retailer management activities as needed.

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE
- Experience using GEMS databases to monitor ongoing movement, shipments, insurance claims, and ICT equipment stock.
- Experience analyzing data of available stock of SCOPE ICT equipment and share period reports to SCOPE ICT focal point.
- Experience in measuring performance of CPs and assets management against set KPIs.
- Experience in assisting the preparation of assets loan form.
- Experience in providing technical business support in corporate systems.
