Job Trainee, Project Financial Analysis & Support (PLANS)

About the position
Based in Rome, Italy and under the direct supervision of the PLANS Global Manager, the Job Trainee will be enrolled in a learning period, providing support to the PLANS unit while gaining an understanding of key business processes. The primary focus will be on effective data management, assisting in information gathering to build reports, and supporting data accuracy throughout grant activities.
Responsibilities
More specifically, the Job Trainee will learn and provide financial support in the following areas:
Financial Management of Grants
- Assist the team in the collection of data and documentation from various departments to support the preparation of financial reports and audits.
- Prepare supporting documentation (e.g., RSS/Facilities/IT statements) for financial report submissions and audits.
- Coordinate the signature process for financial reports to ensure timely approval.
Partner Financial Reporting and Clearance Processes
- Assist with reviewing partner financial reports, ensuring the financial reporting checklist is complete and all required information is included.
- Support with identification of discrepancies in partner financial transactions and report any issues.
- Assist with Reviewing supporting evidence provided by partners and take necessary actions to resolve discrepancies.
Grant Opening and Data Management in the Enterprise Resource Planning (ERP) System
- Assist with the preparation of grant-opening templates for the ERP system to initiate the opening process.
- Support BUS (Budgeting and Understanding Statement) opening and maintenance in the ERP system.
- Assist with linking AECs (Accountable Expense Codes) to projects in the ERP system.
- Assist with the timely preparation of the project budget uploads to ensure budgets in the ERP system are up to date.
- Support the preparation of proposal budget uploads and proposal Masterfile updates to maintain accurate financial records in the ERP system.
- Support with data control and monitoring of budgets and expenses to ensure alignment with project requirements.
- Assist with the review and updating of personnel budgets in the ERP system to reflect up-to-date information, including personnel changes and task reassignments.
- Assist with payroll cost distribution analysis to ensure the research staff costs accurately reflect project budgets and charging requirements.
Other Tasks
Perform any other tasks as required to support the PLANS unit and grant activities.

Terms of employment
This is a job traineeship, and the monthly salary is Euro 1,217. The contract is initially for a period of nine (9) months. The contract may be extendable based on performance and availability of funds.
