Org. Setting and Reporting

This position is located in the Department of Economic and Social Affairs (DESA), Office of Intergovernmental Support and Coordination for Sustainable Development (OISC), Operational Activities Policy Branch (OAPB). The incumbent reports to the Chief of the Branch. The Branch provides substantive support to the United Nations General Assembly quadrennial comprehensive policy review of the UN system operational activities for development and to the Economic and Social Council's coordination and guidance of the UN development system. Responsibilities

Within the limits of delegated authority and under the direct supervision of the Chief of the Operational Activities Policy Branch (OAPB), the Research Assistant will be responsible for the following duties: • Provides research and administrative assistance to staff in the work unit in all aspects of work relevant to the substantive support and organizational preparation of the meetings in the economic and social fields and related events organized by the work unit. • Assists in the data compilation and analysis, compiles materials, and presents basic information/data that is available on websites and in the documentation available on the UN official documents system (ODS), and liaises with offices within and outside the organization. • Maintain accurate files and records (both paper and electronic) for the work unit. • Serves as focal point and oversees registration for meetings of ECOSOC and the General Assembly, and other related fora /meetings pertaining to operational activities for development in ECOSOC, the General Assembly, and related interagency bodies. • Drafts routine correspondence, carries out quality control function for outgoing documents, and ensures that documents are prepared in accordance with editorial guidelines; submits draft reports for processing and liaises with Documents Control on matters related to document submission and issuance. • Researches, extracts, and compiles basic information on economic, social and environmental issues and related topics. • Attends meetings, prepares minutes, monitors follow-up activities, and drafts routine correspondence. • Collects, organizes, and disseminates relevant media information on ECOSOC, the General Assembly, and related interagency bodies. • Maintains files of rules, regulations, administrative instructions, and other related documentation. • Coordinates extensively with service units and frequently liaises with internal team members and Permanent Missions and UN system entities as requested. • Makes arrangements for and coordinates video and teleconference activities at headquarters and assists in preparing presentation materials using appropriate technology/software. • Provides support to the unit on technology-related issues, personnel recruitment, and travel of non-staff meeting participants. • Performs other related duties, e.g., monitoring accounts and payment to vendors and individual contractors for services; physical space planning; identification of office technology needs and maintenance of equipment, software, and systems; organizing and coordinating administrative arrangements for seminars, conferences, and translations, as required.

Work Experience

A minimum of five years of experience in collecting and researching data across various areas of social and economic development or related area is required. The minimum years of relevant experience is reduced to three years for candidates who possess a first-level university degree or higher. Experience in administrative support and conference support is required. Experience in arranging international conferences and/or meetings is required. Experience in the arrangement and/or processes of travel requests is desirable. Experience with the work of ECOSOC and its subsidiary bodies is desirable. Experience in processing recruitment, including temporary personnel and consultants/individual contractors, is desirable. Experience in Enterprise Resource Planning (ERP), such as Umoja or other comparable software is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Knowledge of another official United Nations language is an advantage.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

• This position is temporarily available starting as soon as possible until 31 August 2024, with a possibility of extension.
