Result of Service

  • HR files and records are properly maintained and digitized for both staff members and personnel
  • Records and Registry Reports are updated, accessible and available
  • Digitial Initiatives and migration of documents to digital platforms are supported and maintained

Expected duration

3 Months (Extension is Subject to funding, need of the role and performance).

Duties and Responsibilities

• Properly update, control and maintain HR registry records, OSF/CIC/ consultant/ intern /Fellows, recruitment, and confidential files relating to staff members and personnel. • Properly maintain both physical and digital records and ensure the digitization of physical documents in the records and archive system (HPE Content Manager) • Ensure the proper completeness of HR files and records for staff members and personnel while following up with HR Partners and other administrative focal points on missing or required files and documents. • Support HRMS and other Divisions/Sections with digitization initiatives through SharePoint or other tools • Support the Strategy & Information Management Unit (SIMU) in updating and maintaining its SharePoint pages and websites • Provide staff and personnel related information to respective units upon request (Staff union, Chiefs of HR units, HR Partners, etc.) • Support the improvement and enhancement of knowledge management initiatives by working with SIMU team on different digital initiatives • Provide reference numbers upon request to several clients (HR partners, Chief of Human Resources Officers, Chiefs of HR units, Division of Administration, etc.) • Support in recording, updating, and maintaining Key Performance indicators for the registry sub-unit • Generate, update, and share registry reports from existing registry system(s) • Provide access to records and files to staff members and personnel per rules and regulations • Ensure the timely receipt and delivery of insurance cards and UN travel documents as and when requested

Qualifications/special skills

A high School Diploma is required. A bachelor's degree in public administration, management information systems, business, human resources, law or related areas is desirable.

Minimum of 5 years experience in filing archiving, maintenance and administration of staff and personnel files is required.

Proven experience in migration of physical documents to digital platforms (HPE Content Manager, SharePoint, etc.) is desirable.

Working experience and knowledge in using, editing, and maintaining SharePoint pages and websites is desirable.

Languages

English and French are the working languages of the United Nations. For this role, fluency in oral and written English is required.
