How can you make a difference?

The WASH, Climate & Sustainable Environment Section, UNICEF East Asia and Pacific Regional Office (EAPRO) is seeking a national individual contractor to support the Regional WASH, Climate and Sustainable Environment section through providing a range of procedural, administrative, and operational support in developing, implementing, executing and monitoring their regional and country office programme and management plan including support to research and knowledge management, ensuring effective and timely delivery that is consistent with UNICEF rules and regulations.

Work Assignment:

  1. To perform other routine administrative and secretarial work as may be assigned by the team, this includes but not limited to
    1. Coordinating contracting initiation for individuals and institutions required by section and ensuring the deliverables against the contract
    2. Ensuring accurate documentation required for travel, including preparation and submission of requests for travel authorization and requests for country visas
    3. Ensuring feasible arrangements for transportation, accommodation, and appointments
    4. Ensuring complete and organized filing of administrative-and program-related materials, correspondence and other official documents
    5. Ensuring the timely payment to vendors as agreed
    6. Coordinating with common service unit in processing required administrative support.
  2. To support budget planning and monitoring per annual workplan and to produce periodical financial reports for section programme monitoring and donor reporting.
  3. To perform collection and processing of data related to development and/or subject-matter activities and prepares background material, working papers and tables for briefing and review sessions as may be required by section.
  4. To perform all administrative tasks required for preparation of workshops and meetings, which will include:
    1. Coordinating with other program staff to ensure complete logistics arrangements for virtual and face-to-face conferences to be hosted or organized by the unit, including production of workshop materials, facilitate booking of hotel accommodations, and transportation for the participants. Prepares conference/meeting/workshop venues; communication requirements (e.g., internet, phone, and e-mail), invitation to participants, make arrangements for meals; and registration.

Work Schedule****:

A work schedule will be developed in the first month of the consultancy based on the above deliverables. The consultant will be expected to invoice monthly based on work completed during that time frame. Consultant will prepare a report at the end of each month on assignments performed during the month, which Supervisor will relate to work schedule and certify. This certified report will serve as a supporting document to the payment request relating to that month.

Deliverables:

Monthly report covering activities during the time period

• Timely and accurate financial transactions carried out as needed

• Regular monitoring (at least monthly) of all grant utilization at regional office and for regionally managed grants to country offices

• Donor reports monitored

• PCAs, contracts and other agreements established and managed effectively

• Workshops and meetings organized

Duration of Contract: 4 months on a full-time basis, from 1 September – 31 December 2022

Work Location: The consultant is expected to work from EAPRO office in Bangkok, depending on national and UN Public health guidance.

To qualify as an advocate for every child you will have…

• University degree in social science and/or business administration is preferable. Also accepted is completion of secondary education with additional technical or university courses related to the work of the organization.

• Minimum of 6 years of progressively responsible administrative or clerical work experience in supporting programme management /implementation is required.

• Experience in research, knowledge management, desirable. Familiarity with and basic knowledge of the key thematic areas of UNICEF work.

• High fluency in English (verbal and written) and in the local language of the duty station required.

• Relevant work experience in UN agencies or organizations is an advantage.

• Strong skills in administrative and financial management.

• Good organizational, analytical, negotiation, interpersonal and problem-solving skills.

• Proven ability to conceptualize, plan and execute ideas.

• Strong skills in researching and research writing, an asset.

• Ability to handle and complete multiple tasks within deadlines with minimum supervision preferred

• Self-starter and good judgment.

• Demonstrated ability to work effectively and harmoniously in an international multicultural environment.

• Proven proficiency and good knowledge of computer applications, including data management related.

Consultants and individual contractors are responsible for determining their tax liabilities and for the payment of any taxes and/or duties, in accordance with local or other applicable laws.
