How can you make a difference?

This position is embedded in the Quality Assurance Centre (QAC), where teams have core responsibilities around quality assurance and quality control of supply processes and the products we procure and deliver.

This function plays a critical role both in the quality assurance of products entering the UNICEF warehouse and quality control of products directly delivered to partners. The incumbent will be responsible for assisting the Quality Assurance Specialist (non-pharma) in the management of all aspects of Pre-Delivery Inspection (PDI) arrangements for non-pharma items from initial request to final invoice certification. This will include engagement with third party Inspection Companies to manage the PDI, detailed review of all inspection reports received seeking assistance from peers, supervisors and/or business units for any issues identified. You will also be required to conduct goods release quality control inspections of items arriving into the SD warehouse with occasional trips to our remote warehouse in Taastrup. These tasks represent around 80% of the core responsibilities. Other ad hoc tasks towards mainstreaming sustainability in quality assurance, requests for support from business units and the Quality Assurance Specialist will contribute to delivering on the unit work plan.

Key functions and responsibilities:

Under the guidance of Quality Assurance Specialist, the incumbent will provide assistance in the following:

  1. Pre-Delivery Inspections. Manage daily requests for inspection of non-pharmaceutical items and Medical Devices, invite quotations when required from inspectorates and prepare summary of quotations in formats which facilitate decision-making for (i) award of inspection contracts and (ii) release of goods for shipment (iii) invoice certification. Assist in the process mapping and optimization of the PDI process and provide back up for the overall PDI process.
  2. Facilitate in tracking and monitoring of pre-delivery inspections by maintaining inspection records in accordance with Divisional Procedure DP096. Maintain incoming inspection reports, invoices, release notes and other information in SharePoint against each pre-delivery inspection PO and maintain database and record on status of release. Cooperate with Procurement Centre’s and Suppliers to continuously improve performance and product quality.
  3. Facilitate and conduct Goods Receipt inspection of non-pharmaceutical goods received in SD warehouse undertaking local or external testing if required. Keep all relevant parties informed about the status of non-accepted goods and consignments that require follow up or replacement. Divisional Procedure DP030 applies.
  4. Support and back up as required to register samples received against invitation to bid/ request for proposal. Assist in undertaking sample evaluations when required. Contribute to upkeep of the QAC laboratory and calibration of equipment. Maintain inventory of samples received systematically to ensure the traceability and help in disposing them after expiration of LTA. DP 025 applies.
  5. Maintain relevant KPI and performance data for the unit to ensure the overall QAC goals are achieved, provide regular reports to supervisor.
  6. Engage with all relevant sustainability programmes and support business units with advice and guidance on Quality, Environmental and Social industry standards.
  7. Any other relevant duties as required by supervisor

Requirements:

  • Completion of secondary education required, preferably supplemented by science/ physics/ chemistry/ engineering/ medical sciences.
  • Background in Quality Control preferably in a manufacturing environment.
  • Minimum of 5 years* of experience/background in Quality Control preferably in a manufacturing environment.
  • Fluency in English and knowledge in another UN language (Spanish, French, Russian, Chinese, Arabic).

Functional / technical skills:

  • Knowledge of Quality Control and Quality Assurance procedures and practices
  • Knowledge of basic engineering principles
  • Understanding of Quality Management Systems – ISO 9001
  • Ability to critically review detailed inspection technical reports
  • Use of MS Office applications to generate detailed technical reports and outputs
  • Knowledge or experience of SAP would be an advantage.

Remarks:

*For this position, a bachelor’s degree from a recognized academic institution in a relevant field may replace three years of related work experience. A master’s degree may replace additional two years.
