Overview

Support the operations team in administrative duties and communication tasks.

You have:

  • High School Diploma with specific training in Administration, Management, or related fields.
  • At least 5 years of experience in Secretariat or Administration.
  • Fluency in French and practical knowledge of English is required.
  • Knowledge of local language is an asset.

Contract

This is a G-5 contract. This kind of contract is known as General Service and related categories. It is normally only for nationals. It usually requires 5 years of experience, depending on education. More about G-5 contracts.

How can you make a difference?

Sous la supervision du Représentant Adjoint /Opérations, l'occupant du poste assurera les tâches principales suivantes: - Prend la dictée, en utilisant la sténographie et les transcriptions, en s'assurant que l'orthographe, la ponctuation et le format sont corrects ; prépare les correspondances pour la signature du superviseur, vérifie les pièces jointes et les addresses; - Rédige la correspondance sur les questions de routine; - Organise les rendez-vous pour le superviseur, reçoit les visiteurs, place et filtre les appels téléphoniques, répond aux demandes de renseignements de routine et aide à organiser les déplacements du superviseur; - Suit la consommation téléphonique personnelle des membres du personnel qui ont des puces téléphoniques de l'UNICEF. Prépare leurs factures et fait le suivi avec eux pour le règlement des coûts de leurs appels privés; - Relit les ébauches du superviseur pour vérifier qu'elles sont correctes; - Reçoit les documents des autres écrans de section et les présente pour la signature du superviseur et les renvoie à la section appropriée; - Reçoit et filtre les correspondances et joint les informations de base nécessaires; - Conserve et classe les dossiers du bureau et les fichiers de référence sur divers sujets; - Prend des notes lors des réunions, au besoin ; - Effectue d'autres tâches, au besoin.

To qualify as an advocate for every child you will have…

  • Avoir un Diplôme d'Etudes Secondaires complété par une formation dispensée par des cours universitaires spécifiques en Administration, Gestion ou dans d'autres domaines connexes. Aptitude avérée à la sténographie et à la saisie et la connaissance des procédures d’un bureau moderne.
  • Avoir au moins 5 ans d'expérience en Secretariat ou Administration;
  • La maîtrise du français et une connaissance pratique de l'anglais sont requises. La connaissance de la langue locale du lieu d'affectation est un atout.
