Org. Setting and Reporting This temporary position is located in the Visitors Services Section in the Outreach Division of the Department of Global Communications. The Visitors Services Section provides information about the work of the United Nations to the public, including to specialized audiences, such as students and civil society.

The incumbent in this temporary position will assist in the coordination of the 2023 Reham Al Farra (RAF) Memorial Journalism Fellowship, an annual programme for young journalists from developing countries and countries in transition that aims to enhance their understanding of the work of the United Nations. The three-week programme will take place in September during the opening of the General Assembly.

The incumbent will report both to the Chief of the Group Programmes and Public Inquiries Unit and to the Chief of Visitors Services.

The position is available for three (3) months, effective as soon as possible, but not to exceed 31 October 2023. There is no possibility of an extension.

Responsibilities The incumbent will be responsible for the following duties:

  • Provides general office support to the Reham Al-Fara Memorial Journalists’ Fellowship Programme; responds to complex information requests and inquiries; processes, drafts and finalizes correspondences and other communications; sets up and maintains files/records, organize meetings, monitors deadlines, etc.

    • Coordinates administrative services, including preparing, monitoring and processing various requisitions, service contracts and payment vouchers, coordinating special assignments and related travel authorizations, etc.
    • Assists Programme coordinator putting together a schedule of activities, including liaising with various UN Offices and Departments, non-UN organizations and vendors; scheduling necessary briefings and field visits; ensuring speakers and participating journalists have all the necessary information needed and responds to their queries.
    • Researches, complies and presents basic information for use in the preparation and production of communications products/services.
    • Identifies and prepares new material for inclusion in the Programme web page and social media by: researching various information sources for relevant material and cross-checking information with author offices as required; retrieving and downloading pertinent documentation and other information in requisite programming languages for web format or inserting into database after determining appropriate authoring tools and necessary programming languages; preparing and updating index of documents; posting documents on the UN web and/or development services and ensuring the appropriate directory location.
    • Provides guidance/training to interns.
    • Performs other related duties as required.

Meets timeline for delivery of products or services to client.

Education High school diploma or equivalent is required.

Work Experience A minimum of five (5) years of experience in public information or related area is required. The minimum years of relevant experience is reduced to three (3) for candidates who possess a first-level university degree or higher.

Experience in planning and coordinating logistics, drafting official correspondence, and communicating with external clients is required.

Experience working with journalists is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required. Knowledge of another official United Nations language is an advantage.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice - This position is temporarily available for three (3) months as of 17 July 2023 through 16 October 2023, with no possibility of an extension. If the selected candidate is a staff member from the United Nations Secretariat, the selection will be administered as a temporary assignment.

  • While this temporary assignment may provide the successful applicant with an opportunity to gain new work experience, the selection for this position is for a limited period and has no bearing on the future incumbency of the post.

  • Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Applicants who have not passed the GGST at the time of application may be invited for the test after submitting an application. Having passed the Administrative Support Assessment Test [in English] at the United Nations headquarters, Economic Commission for Africa, Economic and Social Commission for Western Asia, United Nations Office at Geneva, United Nations Office at Vienna, International criminal tribunal for Rwanda or International Criminal Tribunal for the former Yugoslavia may be accepted in lieu of the GGST.

  • This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules.
