Org. Setting and Reporting This post is located in the Multimedia Resources Unit of the Audiovisual Services Section, News and Media Division, Department of Global Communications. DGC Multimedia Resources Unit supplies current and historic multimedia contents to news and media operations of DGC, UN Offices, as well as external clients such as international media, independent producers, government missions, educational institutions and non-governmental organizations. It also provides web development and IT support to media production teams in the Division. The incumbent reports to the Chief of the Multimedia Resources Unit.

Responsibilities Within delegated authority, the Public Information Assistant will be responsible for the following duties:

  • Provides audiovisual library services to production areas of DGC and external clients, including research, retrieval, referral and other services, in answer to their requests for digital files, analog records, and their related supporting documentation.
  • Maintains digital audiovisual asset management systems, such as Orange Logic (Photo) and MAMS (Media Assets Management System), as well as other database systems ensuring that assets and related metadata are promptly, accurately and completely catalogued and indexed.
  • Identifies and prepares new material for inclusion in appropriate audiovisual library web pages by researching various information sources and cross-checking information with author offices as required.
  • Posts audiovisual files and related metadata to the audiovisual library website using the contents management system and procedures ensuring the appropriate directory location. Edits audiovisual files for posting individual speeches and cuts and updates the pages as necessary.
  • Distributes audiovisual material on demand, as requested by internal and external clients.
  • Prepares legacy audiovisual records for digitization and manages their ingestion into the MAMS system.
  • Ensures that the audiovisual library stacks are well organized, properly filed and overall environmental conditions well maintained.
  • Liaises with broadcast engineers and media control rooms to ensure that all DGC required events are recorded and available in the MAMS system.
  • Liaises with news and publications agencies, broadcasters, independent producers, permanent missions to the UN and other external clients to provide advance notice of, and information on, upcoming available audiovisual material.
  • Generates statistical and other reports from various databases for the monitoring and reporting of the work of the audiovisual library and archives.
  • Performs junior librarian functions as required, including the provision of public information and library research services to requesters of photographic and audiovisual material, and the cataloguing/indexing of photographs.
  • Writes photo captions as required, ensuring that the captions are complete, accurate and conform to editorial standards.
  • Provides guidance and training to junior staff and interns.
  • Performs other duties as assigned.

Knowledge of AV archives and library cataloguing, indexing and metadata management standards, formats and methods, as well as multimedia analog and digital formats, standards and digitization workflows. Ability to research and gather information from a variety of sources. Knowledge of audiovisual library and archives processes and workflows. Knowledge of news and media production workflows, including knowledge of the operations of Photo, Radio, and Television. Shows pride in work and in achievements. Education High school diploma or equivalent.

Work Experience A minimum of seven (7) years of experience in audiovisual library and archives or related field is required.

Experience in database management systems, maintenance of website where audio, video and photo are the primary content and web-based distribution media, is required.

Experience with digital asset management systems is desirable.

Experience in nonlinear digital editing systems and workflows, as well as digital audiovisual and multimedia archiving formats and standards is desirable.

Experience in photo caption writing, or related editorial/writing functions, is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Knowledge of another official United Nations language is an advantage.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice - This position is temporarily available until 31 October 2023 with possibility of extension. If the selected candidate is a staff member from the United Nations Secretariat, the selection will be administered as a temporary assignment.

  • While this temporary assignment may provide the successful applicant with an opportunity to gain new work experience, the selection for this position is for a limited period and has no bearing on the future incumbency of the post.

  • Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Applicants who have not passed the GGST at the time of application may be invited for the test after submitting an application. Having passed the Administrative Support Assessment Test [in English] at the United Nations headquarters, Economic Commission for Africa, Economic and Social Commission for Western Asia, United Nations Office at Geneva, United Nations Office at Vienna, International criminal tribunal for Rwanda or International Criminal Tribunal for the former Yugoslavia may be accepted in lieu of the GGST.

  • This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules.
