Overview

Support the DIMTD office operations and project management activities.

You have:

  • A university degree from an accredited educational institution in business, administration, information technology, project management, or a related discipline.
  • At least 3 years of experience in a Project Management, Operations, or Information Technology environment.
  • Good command of spoken and written English.
  • Certification in IT industry standards and/or best practices (i.e. ITIL etc.) is desirable.

Result of Service Successful candidate will be hired for 11 months contract.

Expected duration Initially for 11 months with the possibility of an extension

Duties and Responsibilities - Ensures efficient and effective functioning of DIMTD’s office; provides support to the DIMTD on all aspects of the office work, as required by the Director - Proactively take on new tasks or projects that increase efficiency and drive acceleration to the business processes of the DIMTD’s office - Enhance productivity of DIMTD’s office by assuming responsibility for key outcomes and deliverables - Influence, align, and support the vision of DIMTD’s office in alignment with IMTD strategies and objectives - Prepare materials for meetings and presentations; compile reference materials as needed and directed by the Director - Ensure meeting objectives, agenda, and preparation requirements are communicated in a timely manner and capture notes, track action items, and follow-up to ensure completion - Support the DIMTD in organizing the IMTD’s senior teams’ activities and monitoring the IMT Workplan with coordination with the senior team - Attend all the meetings that DIMTD attend, as required by the Director - Acts as a focal point for sharing information provided by the DIMTD with colleagues, clients, partners, and external stakeholders - Proactively entails the use of technology and electronic systems and tools to initiate and implement the work of the DIMTD’s office - Provide support and administrative services to the Project Management Office (PMO), including but not limited to: compiling and distributing project related reports, preparing for meetings, checking documents for accuracy and compliance, drafting communication, material, collating requested information in coordination with field offices, and responding to general Project Management queries. - Establishes and manages online repositories of IT Project Management documents and sets up project files. This includes using established project management tools and procedures to update all Project Management Office (PMO) document repositories - Support the review, procurement, and preparation of departmental contracts, such as Individual Service Provider contracts, IT Service Contracts, Equipment, and Infrastructure Contracts. - Monitor and follow-up on IMTD purchase requests, contracts, and payments to vendors, including preparing reports on these transactions.

Qualifications/special skills Academic Qualifications: - A university degree from an accredited educational institution in business, administration, information technology, project management, or a related discipline. Experience: - At least 3 years of experience in a Project Management, Operations, or Information Technology environment Language: - Good command of spoken and written English.

    Additional Information BACKGROUND The incumbent is responsible to Director Information Management and Technology Department (DIMTD), or to one of the Senior Project Management Leads overseeing project implementation in IMTD at UNRWA HQ (Amman).
