World Vision has been working in the Middle East region for nearly 40 years. We’re dedicated to improving the lives of children, families, and the communities where they live through long-term sustainable development as well as responding to disasters — both natural and man-made. We have been supporting families impacted by the conflict since 2011 through aid to children and families in Syria, Jordan, and Türkiye, all of which have suffered from the conflict and resulting humanitarian crisis. Since the Syrian refugee crisis began, we’ve helped more than 7.5 million children and their families in the region.

Under the Syria response portfolio, a newly short-term project funded by World Food program (WFP) is launching in Northwest Syria that aims to support the most vulnerable families by implementing various activities to meet their food and nutritional needs in prioritized geographical locations. Thus, we are looking for a reporting officer to support the project team in reporting and documentation of the project activities. This position will be based in Amman, with a low-possibility travel to Gaziantep. The selected candidate will help implement the following project’ activities:

Food Assistance Programme under Crisis Response (WFP Activity 1): This programme identifies the most vulnerable families to receive essential food assistance monthly through e-cards and/or food parcels. Beneficiaries will be identified ahead, and the intervention locations are predetermined by WFP. Nutrition Support for Pregnant and Breastfeeding Women and Girls (NSP): This programme supports the dietary diversity needs of the most vulnerable pregnant and breastfeeding women and girls, enabling them to meet their additional micronutrient requirements. It complements the food assistance provided by WFP and WVSR through an e-voucher system restricted to food and food parcels for these women and girls within families receiving food assistance.

Reporting to the Project Manager who is based in Gaziantep, the Reporting Officer Key Responsibilities will be:

Key Responsibilities:

Team management

  • The position will directly manage 2 assurance and reporting assistants who will be based in the field.
  • The position will also manage 1 data entry who will be based in the field.
  • Oversee the reporting team, assign tasks, and ensure high-quality deliverables and adherence to deadlines.
  • Organize regular team meetings and encourage open communication to align with project objectives.

Comprehensive Reporting and Documentation:

  • Prepare and deliver detailed, high-quality reports for WFP and other stakeholders, ensuring full compliance with donor requirements and organizational standards.
  • Maintain and manage comprehensive, organized documentation of all project activities, including meticulous data collection, analysis, and storage.

Advanced Data Management and Analysis:

  • Design and implement robust data collection systems to gather accurate and relevant project data.
  • Perform advanced data analysis to generate actionable insights and inform strategic decision-making.
  • Ensure the integrity and accuracy of all data used in reports and documentation.

Enhanced Monitoring and Evaluation:

  • Collaborate closely with the Monitoring & Evaluation (M&E) team to develop and update comprehensive M&E frameworks and tools.
  • Lead the tracking and evaluation of project progress, outputs, and outcomes, providing regular updates and detailed analysis.
  • Conduct field visits to verify data accuracy and project implementation quality.

Strategic Communication and Coordination:

  • Serve as the primary point of contact for all reporting-related communication with WFP and other partners.
  • Coordinate effectively with field staff, partners, and stakeholders to gather necessary information and provide project updates.
  • Develop and maintain strong relationships with key stakeholders to facilitate effective communication and collaboration.

Capacity Building and Training:

  • Develop and deliver training programs for field staff and partners on advanced data collection, reporting, and documentation processes.
  • Create guidelines, best practices, and toolkits to enhance the capacity of team members in data management and reporting.

Compliance and Quality Assurance:

  • Ensure all reports and documents meet WFP’s stringent guidelines, standards, and requirements.
  • Conduct regular quality checks and audits on reports and data to ensure high standards of accuracy and completeness.
  • Implement continuous improvement processes to enhance the quality of reporting and data management practices.

Project Tracking and Strategic Planning:

  • Develop and maintain sophisticated tracking systems to monitor the accomplishment of project activities against established targets and timelines.
  • Collaborate with the Project Manager and senior team members to plan and set strategic goals for target achievement, ensuring alignment with WFP’s broader objectives.
  • Regularly update progress tracking tools and generate comprehensive reports that highlight key milestones, achievements, and any deviations from planned activities.
  • Provide strategic insights and recommendations for course corrections or adjustments to ensure the project remains on track and meets its objectives effectively.

Stakeholder Engagement and Advocacy:

  • Engage with external stakeholders, including donors, partners, and government officials, to advocate for the project and secure additional support.
  • Prepare and deliver presentations and briefings on project progress, challenges, and successes to various audiences.

Qualifications and Experience:

  • Bachelor’s degree in management, engineering, International Development, Statistics, or a related field.
  • Minimum of 7 years of experience in project management, reporting, data management, or a related role within the humanitarian or development sector.
  • Strong analytical skills with experience in data collection, analysis, and reporting.
  • Excellent written and verbal communication skills in English.
  • Proficiency in using data management and reporting tools (e.g., Excel, Word etc.).
  • Strong organizational skills and attention to detail.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Experience working with WFP or similar organizations is an advantage.
  • Experience working with World Vision before is an advantage.
