UNOPS strategic focus places increased emphasis on national capacity development and sustainable approaches to project management, procurement and infrastructure services. A key objective is to be recognized as an organization that delivers world-class infrastructure and project management, which is both economically and socially sustainable, even in the most challenging environments. To achieve this goal, UNOPS has established the Infrastructure and Project Management Group (IPMG).

Within UNOPS, it is IPMG’s objective to serve the organization’s personnel and partners by broadening their infrastructure and project management capabilities, while disseminating best practices in both of these areas. Through this work, the group helps facilitate the successful delivery of programs and projects around the world.

To achieve its objectives, IPMG has established three interrelated and interdependent technical streams, namely, Strategic Initiatives, Standards, and Engagement Assurance, that are supported by the Portfolio Support team. IPMG is managed overall by the Director of IPMG.

The Standards team aims to reduce organizational risks, improve project performance, and promote excellence across UNOPS projects. It is achieved by having a fit for purpose infrastructure and project management standards framework in place, which notably includes the development and maintenance of standards, policy, template, guidance and tools.

The Standards Team is overall led and managed by the Head of Standards in close collaboration with the Manager of Standards. The Project Management Support Analyst - Systems & Tools will report directly to the Project Manager - Systems & Tools.

Duty station is Copenhagen, Denmark, however, requests to be home-based will be considered. In such cases, whilst the successful incumbent can be based in different time-zones, s/he should be able and willing to ensure a degree of time overlap with the team based in our HQ in Copenhagen. In addition, a different contract modality (Local ICA) may be offered in accordance with UNOPS policies.

Functional Responsibilities

Working in IPMG within the Standards team, the successful incumbent will be expected to be primarily responsible for providing support to the Project Manager - Systems & Tools and must.

  • Manage IPMG’s oUP change request log & prepare change requests for system enhancements. The incumbent will work under the direction of the Project Manager - Systems & Tools to obtain approval for change requests.
  • Provide support for the preparation of requirements documentation for future project management system(s). With a solid understanding of issues faced and business needs, the incumbent will play an important role in ensuring requirements are clearly written, taking into consideration lessons learned and user needs.
  • Perform and coordinate user acceptance testing of system changes. For minor change requests, the incumbent is expected to test any functionality prior to release.
  • Assist in the preparation of training and rollout materials for IPMG systems and tools - Prepare tutorial videos and training materials - both updates to existing materials and preparation of new materials as applicable.
  • Stakeholder Engagement - Attend and assist in managing / presenting relevant piloting events, webinars and IUGs and associated follow up activities.

Knowledge building and knowledge sharing

● Identify areas for improvement and provide on-going maintenance and updates of the UNOPS Systems & Tools Intranet space with the most current information.

● Provide sound contributions to knowledge networks and communities of practice by synthesizing lessons learnt and disseminating best practices in his/her area of work.

Monitoring and Progress Controls

  • Responsible for meeting and setting goals, targets and performance standards; reporting on own progress against work plan.
  • Responsible for supporting the timely delivery of products and work packages under the technical lead of the Project Manager - Systems & Tools.
  • Ongoing assessment of task completion, which meets quality expectations.

Education/Experience/Language requirements

Education

  • An advanced university degree (e.g. Master’s) in a relevant field field is required.
  • A first-level university degree (e.g. Bachelor) with an additional two (2) years of relevant work experience may be accepted in lieu of the education requirement outlined above.

Work Experience

Required:

  • A minimum of 2 years of experience in a project management support role is required;
  • Experience in support and development of IT systems and associated training is required.

Asset:

  • Experience with infrastructure and project management is considered an asset;
  • Experience in UNOPS is considered an asset;
  • Previous working experience in developing countries in an international environment is considered an asset;
  • Knowledge of Google Workspace is an asset.

Certifications

  • Certification related to Project Management and/or IT systems certifications (such as Salesforce) is considered an asset.

Languages

  • Fluency in English required.
  • Fluency in French and/or Spanish is highly desired.
