About the Program:

Climate change is already a reality, and its impacts are getting more severe every year. Global actions to slow climate change are promising, but insufficient. While action to prevent the worst impacts of climate change are important, decision-makers must also invest in a massive effort to adapt to conditions that are now inevitable: higher temperatures, rising seas, fiercer storms, more unpredictable rainfall, and more acidic oceans. The Adaptation team in the Climate Program focuses on governance issues related to climate resilience, including the transparency, equity and inclusivity of adaptation planning and implementation processes.

Job Highlight:

Reporting to the Operations Associate for Climate & Economics, you will manage the financial and administrative operations of multiple related projects, and providing key support to the GHG Protocol Director, senior managers, and project teams. Your specific duties will include developing and updating budgets, tracking expenditures, preparing grant proposals and financial reports, drafting and monitoring contracts, processing payments and expense reports, facilitating outreach efforts and events, managing team meetings, and other tasks as assigned. You will be supported by a partner Project Coordinator and the larger Climate Operations team.

What will you do:

Project Management (30%):

  • Support project managers in coordinating with external partners, and provides close liaison with WRI staff across programs and departments, as well as operations teams at WRI international offices
  • Support project managers in the development and tracking of project workplans, deliverables, and task assignments
  • Process contracts, procurement documents, work orders, and other formal documentation for project commitments
  • Prepare sub grant and contract agreements and advise Project Managers in working with partners and contractors to ensure agreements are completed on time, including the timely and accurate submission of progress and financial reports
  • Coordinate outreach efforts on behalf of projects

Financial Management (25%):

  • Regularly review, update, and monitor all transactions, commitments, and revenue prospects for all team projects
  • Coordinate and advise project managers on budget management, including use of advanced budgeting software, monthly financial tracking, and supporting Project Managers in expense forecasting and revenue analysis
  • Solicit, review and process invoices and other payments in compliance with established WRI policy (subgrant request for funds, consultancies, work orders, etc.)
  • Create, monitor, and maintain project budgets including shared grants, cost-share, and other project financial arrangements
  • Follows WRI’s internal processes and deadlines related to funding, including quarterly reviews, monthly & annual closeouts, and future fiscal year annual budget submission Liaise with other GHG Protocol-related projects across WRI to coordinate on staffing, fundraising, and financial management

Grant Management (25%):

  • Draft grant proposal budgets and assist in the collection and submission of formal proposals for team fundraising efforts
  • Coordinate proposal and grant reporting documentation packages for internal review and submit
  • Support donor and grants management by keeping database software up to date (Salesforce, Revenue Snapshot, Grant folder)
  • Ensure team compliance with terms and conditions of complex grant and contract agreements

Administration & Events Management (20%):

  • Coordinate and schedule team meetings and help coordinate team’s planning processes
  • Coordinate recruitment and manage onboarding of new staff members and interns, as needed
  • Keep meticulous electronic filing system
  • Coordinate conference, webinars and event logistics for domestic and international meetings and workshops, including venue, catering, equipment, translators, travel, per diem and visa support for WRI staff and event participants

What will you need:

  • Education: You have a bachelor’s degree.
  • Experience: You have a minimum of 2 years of relevant, full-time work experience, preferably in financial management, grants or contract management, or nonprofit operations
  • Ability to work independently with minimal supervision, including proactively identifying problems and working with team members to develop solutions
  • Strong computer skills including high level of comfort with Microsoft Office (Excel, Word, PowerPoint, Outlook), web-based communications (Teams, Zoom), with CRM database (Salesforce) and budgeting preferred
  • Strong commitment to WRI’s mission and the values of integrity, innovation and respect that underpin all aspects of our operations
  • Languages: Written and spoken proficiency in English
  • Requirements: Existing work authorization is required where this position. WRI is unable to authorize visa work authorization

Potential Salary: Salary range is between 57,000 and 62,000 USD. Salary is commensurate with experience and other compensable factors.
