Contract

The overarching strategic goal of UNICEF’s Information and Communication Technology Division (ICTD) is to transform and build partnerships with our stakeholders to successfully implement UNICEF programmes globally through innovative technology-enabled solutions.
UNICEF is going through an exciting digital transformation that will influence the work of the entire organization. As part of this transformation, UNICEF is opening a new ICTD Digital Core office in Valencia, Spain to execute ICTD’s digital strategy across all UNICEF locations globally. This role is an exciting opportunity to support the operations of a new office.
How can you make a difference?
The Project Associate provides general ICT program management, project management and administrative support for a range of projects and portfolios to ensure their smooth running and implementation. The Project Associate prioritizes tasks and organizes work independently based on general direction from the supervisor and carries out a broad range of activities, including work planning, documentation management, reporting and logistics support.
This vacancy announcement is for two Project Associate posts at the G-6 level. One post will report to the Deputy Director, Solutions Centre and Support Section at the D-1 level, and the other post will report to the Chief, Platform and Service Delivery Section at the P-5 level. Both positions will have matrix management reporting to the Operations Specialist at the P-3 level.
Key responsibilities:
1. Program Planning, Project Planning and Execution Support • Under the direction of the supervisor, research, analyze, verify, and summarize relevant qualitative and quantitative data. Draft or support development of documents, presentations, reports and proposals on program and project arrangements. • Coordinate inputs from various stakeholders and follow-up on the preparation of updates on activities, reports, and reviews. • Coordinate with authorizing officers and project managers to ensure the management of project human resources, such as consultants, interns, and third-party vendors. Draft notes for the record, advertisements etc. Screen applicants and coordinate interviews. • Liaise with stakeholders in planning procurement and contracting initiatives by supporting the development of the annual supply plan, statement of work/terms of reference, work orders, change orders, logistics arrangements, timelines, submission to the Contract Review Committee (CRC), vendor management etc. • Keep abreast of the long-term agreements for the ICT Division and broader organizational portfolio. • Undertake duties as directed by the supervisor to support the delivery and implementation of projects.
2. Program Documentation, Project Documentation and Reporting Support • Prepare monitoring and reporting information in support of relevant portfolio efforts. • Draft correspondence, communications, documentation, briefing notes and reports contributing to the achievement of program and project objectives. • Under the direction of supervisor or project managers, maintain program and project portfolio document repository, including the project team site. Generate reports and dashboards.
3. Program, Project, and Office Administrative Support • Arrange appointments and maintain supervisor’s calendar. Organize and manage project-related meeting logistics, including taking responsibility for finalization of meeting agenda, invitations, etc. Ensure that participants are properly informed and connected to online conferences, presentation documents are uploaded, and recordings are stored. Record and publish meeting minutes. Communicate assigned action items. • Maintain calendar of travels and important events relevant for the section. Ensure that professional memberships are up to date. Help organize events, conference, webinars, etc. • Provide program and project work input to the Administrative and Finance Associate for processing travel, executing contracts and other transactions, reserving meeting location and conference rooms, and monitoring financial expenditures, ensuring compliance with UNICEF rules and regulations. Keep supervisor informed and advised on actions for decision and follow-up. • During absences and annual leave, back-up the Administrative and Finance Associate in the same section, and the other section’s Project Associate, as per schedules agreed with the supervisor. • Support budget administration. Maintain and monitor section’s budget plans and expenditures. Produce budget status reports and prepare budget transfer requests.

Desirable: • Knowledge of UN/UNICEF organizational structure, administrative and ICT policies and procedures is an asset.
