Job Description

SCOPE OF WORK: Under the guidance and supervision of the Child Protection Programme Manager, the Project Assistant – Trainer will be responsible for the smooth training implementation in all aspects. The main role of the Project Assistant - Trainer is to work closely with the project team and other staff to support the delivery of the scheduled trainings, programmed in vivo and online, and the follow up sessions. This includes coordinating the day-to-day logistics and all communications and administration with participants (from subscription through to post course follow up), as well as acting as trainings’ co-facilitator.

Position objectives:

Coordinate the day-to-day administration and logistics of the scheduled face-to-face and online training courses.

Set up and support the delivery of training courses.

Co-facilitate the delivery of the trainings, in collaboration with the Project Officer - Trainer.

Reply to e-mail and phone enquiries about scheduled training courses and forward e-mail and

phone enquiries to the training team accordingly. Support the follow up and coaching sessions in collaboration with the Project Officer - Trainer.

KEY RESPONSIBILITIES:

- Be the first point of contact for enquiries about REEC’s scheduled trainings; - Ensure effective logistics before and during course implementation; - Liaising with the training venue; - Undertake administrative preparation of course materials in liaison with the Project Officer - Trainer; - Co-facilitate in vivo and online trainings; - Participate in coaching and follow up sessions; - Support the Project Officer - Trainer with formatting of materials and ensure the smooth running of all courses; - Manage all applications from initial enquiry stage to participation and follow-up - Ensure high quality of service delivery and responsiveness to participants’ needs; - Support the development of needs assessment surveys, feedback, and monitoring systems; - Provide initial data collection analysis of the trainings’ participants for reporting purposes; - Provide support on filing, organizing and archiving training materials; - Assist with any other tasks required to support the training department in terms of scheduled courses; - Regularly attend team meetings and other internal and external meetings; - Create and maintain effective working relationships with other IRC departments and external services.

Qualifications

- Relevant diploma/certificate, pedagogical, psychology or educational studies preferred; - A minimum of one year experience in working in administrative positions; - Experience implementing group activities is highly desirable; - Excellent communication and interpersonal skills; - Personal qualities: Team player, responsive, flexible, able to handle stress and high-pressure work environments effectively & work in culturally diverse work settings; - Understanding and sensitivity to the needs of people from a variety of backgrounds and cultures; - Strong coordination skills; - Fluency in Greek and good working knowledge in English is required; - Computer skills: Knowledge of MS Office, Internet, Outlook, Excel and competency with new technologies required; - Ability to work as part of a team and on own initiative; - Problem solving and decision making skills; - Experience in organizing events such as seminars, workshops or conferences.

OTHER:

- Must be able to work flexible days, including weekends; - Must successfully complete criminal background check;
