Org. Setting and Reporting The incumbent shall report to the Projects Team Leader.

Responsibilities In accordance with established Agency policy and procedures, the incumbent: * Maintains, updates, and follows up on the available projects information systems; updates and consolidates the list of proposals & reports; produces statistical and narrative reports on projects and donors profiles as needed; * Gathers, collects and compiles information and data, as required, through coordination with other Departments; checks the accuracy of the core data in the available information systems through coordination with the Projects Office team members, Programme Departments, Finance and External Relations Department (ERD); * Implements and maintains well-organized electronic archiving using MS-Outlook and other options for Documents Management; * Ensures timely distribution of required information & clarifications related to projects to all concerned staff, and follows-up on actions required; including submission schedules. * Supports the Projects Office team in the administrative & logistical arrangements for maintaining assets & tools, processing invoices, administering human resources matters, arranging for field visits, donors’ visits, projects inauguration, coordination events and meetings. * Performs such other duties as assigned.

Education - A minimum of post-secondary diploma of at least two years in one of the following:  Business & office practice, Executive Secretary, E-Business,  Programming & Database, or Information Systems.

Work Experience * At least two years relevant & documented experience, preferably in documents/information management system, project cycle management, and donor relations.

* Prior experience with a UN organization or international organization is desirable.

* Working ability to read, analyze and archive considerable number of e-mails and paper-based pages (ALL in English) on daily basis, please provide a summary of your key achievements in this regard or a statement that proves your strong quick reading & comprehension skills in English language; along with working under pressure.

Strong computer skills using MS-Office (e.g. Outlook, Excel, Access, PowerPoint…etc.), please provide a summary of your key achievements in this regard or a statement that proves your strong skills.

Previous working knowledge in the fields of project cycle management, and donor relation, please provide a summary of your key achievements in this regard.

Languages - Excellent level of spoken and written English; in addition to Arabic;

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice Conditions of service: - Contract Type & Duration: Limited Duration Contract for 6 months; Extension is subject to funds availability, continuing need and satisfactory performance. - Basic Salary: Monthly basic salary 1103.70 US$; and monthly dependency allowance $18.65 and Group Medical Insurance GMI $12.00. - Leave: 2.5 per month - Other conditions of service and benefits may apply.

Additional Information - The incumbent will be required to work under pressure and beyond working hours.

Equivalency: When the minimum requirements are not fully met, Field Director for Field Area staff and Director of Human Resources for Headquarters Area staff, in consultation with the concerned supervisor may exceptionally substitute part of the unmet requirements with a combination of relevant academic qualifications, additional professional training and progressive relevant work experience. NB: Work experience alone or formal qualifications with no relevant work experience are not considered an acceptable combination

General Information:

As an Area post, preference will be given to local candidates already based in the duty station of the post.
