This is a UNV National Specialist contract. This kind of contract is known as National UN Volunteer. It is normally only for nationals. More about UNV National Specialist contracts.

Eligibility criteria

Minimum age: 22 years old. Applicants must be nationals of or legal residents in the country of assignment.

Description of task

Within the delegated authority and under the supervision of Project Manager or his/her designated mandated representative(s), the UNV Project Assistant will:

  • Programmatic support such as:
    • assist in the preparation of work plans, financial and operational planning processes of the project,
    • advising all project counterparts in the applicable administrative procedures and ensuring their application in accordance,
    • prepare routine correspondence, meetings minutes and draft any relevant document related to the project implementation as per the supervisor's request.
  • Administrative support such as:

    • collect, record, and maintain all information about project activities, both prepare and maintain physical records (blue file) of the project and keep the project sections in Atlas informed as per the IATI requirements,
    • provide logistical support organization and scheduling of field trips, meetings, training, and workshops,
    • Prepare audit process for the project as required.
  • Financial and procurement support, such as:

    • monitor and maintain oversight of the activities, budgets, and financial expenses in the project,
    • produce and regularly submit to GP the financial reports of the project,
    • contracting of equipment, staff, service providers,
    • Keep records and dashboards for all purchase orders and contracts under the project and ensure close and regular monitoring.
  • Use internal platforms to inform on project and to enhance project quality (e.g., IATI, ATLAS, SharePoint;
  • Contribute to data collection and communication efforts on the project when needed;
  • Any other related tasks as may be required or assigned by the supervisor.

Qualifications/Requirements

Required degree level:

Bachelor degree or equivalent

Education - Additional Comments:

  • Bachelor's degree in a relevant area, e.g., in an area related to financial administration or project management

Required experience:

24 Months

Experience remark:

· Two (2) years of relevant admin and finance professional work experience at the national and/or international level in international organizations, or other relevant programmes; experience working in the UN or other international development organization is an asset;

· Knowledge about contracting, small-scale cash handling, logistics support, and packaging systems is a basic requirement;

· Knowledge of procedures for the implementation of UNDP projects, including procurement, disbursements, and reporting and monitoring is preferable;

· Ability to work and adapt professionally and effectively in a challenging environment; ability to work effectively in a multicultural team of international and national personnel;

· Excellent oral and written skills; excellent drafting, formulation, reporting skills;

· Accuracy and professionalism in document production and editing;

· Sound security awareness;

· Ability to work and adapt professionally and effectively in a challenging environment; ability to work effectively in a multicultural team of international and national personnel;

· Solid overall computer literacy, including proficiency in various MS Office applications (Excel, Teams, Word, etc.) and email/internet; familiarity with database management; and office technology equipment.

  • Portuguese(Mandatory), Level - Fluent

  • French(Mandatory), Level - Working Knowledge

Area of expertise:

Finance, accounting and audit, Other finance, economics and administration related experience

Area of expertise details:

Fluency in spoken and written Portuguese is required. Working knowledge of spoken and written English or French is an advantage.
