Specifically, the incumbent shall: - Provide overall secretarial and administrative support in the implementation of different projects in IICBA and closely work and communicate with the colleagues in IICBA for the execution of his/her functions; - Contribute to the elaboration of contracts and follow up on timely budget release for effectiveness of programme/project delivery and execution; - Provide administrative support to the programme team in the organization of events, meetings and workshops, etc; - Contribute to regular monitoring of project implementation to ensure the timely implementation of intended activities and budget; - Provide administrative support to programme staff for the execution of various responsibilities and draft non-substantive correspondence; - Submit relevant documentations for process of payments of vendors and suppliers to the administration office; - Assist in preparation of budget, check completeness, accuracy and compliance of documentation; - Assist in the production of a variety of financial reports and statistics related to extra budgetary fund; - Assist the programme team in reviewing and preparing documentation on the procurement of goods and services, and support contract tracking; - Prepare methodology for contract tracking and ensure liquidation and closure of all relevant contracts and commitment that have elapsed; - Process documentation for vendor registration and ensure follow up on vendor related issues for correction; - Follow up air tickets purchase and payments, prepare travel authorizations and assemble information pertinent to the purpose of travel.
