**OVERVIEW** ------------ Post Number : 1BECI0002PA Grade : G-4 Parent Sector : Communication and Information Sector (CI) Duty Station: Brussels Job Family: General Administrative Support Type of contract : Project Appointment Duration of contract : 1 year Recruitment open to : Internal and external candidates Application Deadline (Midnight Paris Time) : 05-FEB-2021 UNESCO Core Values: Commitment to the Organization, Integrity, Respect for Diversity, Professionalism Long Description ---------------- **Only candidates who are entitled to work in Belgium may apply to this position (Part-time 50%)** **OVERVIEW OF THE FUNCTIONS OF THE POST** ----------------------------------------- Under the general supervision of the Director of the UNESCO Brussels Office and the specific supervision of the Project Coordinator, the incumbent shall provide project management and administrative support to the Project Coordinator working on the implementation of the EU-funded project entitled “Social Media 4 Peace”. The incumbent shall be required to perform the following duties: - Assist the Project Coordinator in the implementation of the project’ activities by liaising regularly with UNESCO Field Offices involved in the project, UNESCO Communication and Information sector and Central services. This includes drafting, reviewing, and editing correspondence and any other projects related documents; prepare in-house communications and responses to queries in English and/or French. Ensure also regular contacts with project partners’ administrative focal persons. - Assist to compile and draft project reports in coordination with the Project coordinator and project national officers in the pilot countries. Research, compile background information, and draft information materials, presentations and other visibility materials for reports, plans, studies, briefings, training, meetings/conferences. - Assist in estimating costs and preparing detailed budgets and contracts for project partners using UNESCO formats. - Assist in the organization of projects’ meetings, conferences, workshops and other events related to the above-mentioned project; arrange for meeting facilities and equipment, make travel arrangements; prepare correspondence and assemble documents for participants and organize the distribution of the projects' communication materials and prepare event related information for posting on websites. - Prepare draft contracts and purchase orders, enter contract details using UNESCO’s automated financial management systems (FABS/DUO/SISTER); assure their follow-up as necessary; assist in verifying conformity of deliverables and prepare payment requests. - Organize missions by preparing mission requests and travel and accommodation arrangements following UNESCO's rules and regulations. - Follow-up financial settlement of all expenses and report to the Project manager. - Provide any other assistance to the Project Manager if required for the purpose of the project. **COMPETENCIES (Core / Managerial)** ------------------------------------ Accountability (C) Communication (C) Innovation (C) Knowledge sharing and continuous improvement (C) Planning and organizing (C) Results focus (C) Teamwork (C) **-** ----- For detailed information, please consult the [UNESCO Competency Framework](https://en.unesco.org/sites/default/files/competency_framework_e.pdf). **REQUIRED QUALIFICATIONS** --------------------------- **Education** - Completed secondary, technical and/or vocational education. **Work Experience** - A minimum of 3 years of relevant work experience in project management and administrative support tasks. - Experience in project implementation. **Skills/Competencies** - Good interpersonal and communication skills, including ability to draft correspondence and correct documents in English and/or French. - Good organizational and coordination skills. - Ability to work as part of a team, to take initiatives and provide quality and timely support and services. - Discretion, loyalty and diplomacy. - Ability to work in an international and multicultural environment. - Flexibility to adjust to work schedules and priorities; capacity to work effectively under pressure. - Good IT skills, including MS Office (Word, Excel, PowerPoint, Outlook, etc.). **Languages** - Excellent knowledge of English or French and good knowledge of the other language. **DESIRABLE QUALIFICATIONS** ---------------------------- **Education** - Advanced studies in secretarial and administration. **Work Experience** - Relevant experience in similar functions within the UN system. **Skills/Competencies** - Knowledge of EU institutions and EU external action policies; - Knowledge of UNESCO rules, administrative procedures, standard practices and systems (SAP). **BENEFITS AND ENTITLEMENTS** ----------------------------- UNESCO’s salaries consist of a basic salary and other benefits which may include if applicable: 30 days annual leave, family allowance, medical insurance, pension plan etc. For more information in benefits and entitlements, please consult [ICSC website.](https://icsc.un.org/) **SELECTION AND RECRUITMENT PROCESS** ------------------------------------- Please note that all candidates must complete an on-line application and provide complete and accurate information.
