WHO WE ARE?
UNHCR (United Nations High Commissioner for Refugees) and WFP are leading a UN Reform initiative by joining expertise to provide vehicle fleet management services, including vehicle leasing to other UN agencies. To provide these services, a new unit is being set up known as UN FLEET. UN Fleet | Global Solutions represents a partnership initiative between WFP & UNHCR to offer leased vehicles and professional fleet management services to the wider UN System. The vision is to provide effective, safe, efficient, and environmentally sustainable fleet solutions to the UN System while achieving significant and sustainable cost savings.

THE ROLE
The primary responsibility of the Project and Reporting Officer position is to ensure the timely coordination and monitoring of the UN Fleet implementation project, reporting, support to management and knowledge management. This position will be contractually managed by WFP.
The Project and Reporting Officer will report directly to the Head, UN Fleet and will provide support in the achievement of results, work closely with all UN Fleet stakeholders, and contribute to overseeing the successful implementation and coordination throughout the entity. This role entails providing support and guidance on multiple initiatives, including those already under development and contributing to transforming these initiatives into action, and by overseeing the day-to-day delivery by working with a broad range of colleagues, partners, and other stakeholders.
The role will require remote working collaboration with team members and stakeholders across multiple locations including Dubai, Rome, Budapest, and Geneva, with a potential relocation. The role may require travel.
WHAT YOU’LL BE RESPONSIBLE FOR
- Contribute towards the development of a wide variety of programmes/initiatives, plans and processes, ensuring alignment with UN Fleet strategy and goals
- Establish continuous liaison and collaboration with internal and external counterparts to ensure effective relationships, provide regular progress reports, monitor ongoing projects, and highlight potential risks to project delivery
- Develop and coordinate data gathering/inputs for interagency and corporate reporting and monitoring systems, ensuring that rigorous quality standards are maintained
- Monitor and coordinate the implementation of the project plan, noting changes in the project with a high impact on timelines and budget, following up with respective team members, accordingly; assessing project progress and continued alignment with set objectives.
- Formulate and collect feedback and report on lessons learned
- Facilitate the coordination of events, including proposing agenda topics, identifying participants, preparation of documents and presentations
- Actively participating in meetings through attendance, discussion, and preparation of meeting minutes, interim project reports, and other Steering Committee documents.
- Ensure the timely coordination and consolidation of reports from all responsible parties for the preparation and submission of corporate reports and other relevant parties.
- Guidance and coordination of UN FLEET's implementation project and Risk Register process, including planning phase and monthly reviews.
- Leading a small team.
Support to Management
- Prepare briefings, talking points, presentations and proposals for internal and external meetings including Project Champions meetings, Project Sponsors meetings, Workstream meetings and project workshops.
- Manage the set-up and coordination of meetings, calls and workshops.
- Attend meetings, record key points and produce Notes for Record.
- Coordinate, quality check, and collate information requests from different project stakeholders, workstreams and client agencies.
- Review of key relevant documentation.
- Surface and resolve issues as relevant.
- Perform other relevant duties as required.
Knowledge Management
- Establish structured knowledge management and reporting mechanism for UN FLEET.
- Collaborate and coordinate with the Communication team to ensure accurate assessment, collation, and representation of datasets for UN FLEET reports.
- Consolidate distribution lists of UN FLEET stakeholders (internal & external), UN FLEET staff and client-agency focal points for relevant communications and engagement.
- Surface and resolve issues as relevant.
QUALIFICATIONS & KEY REQUIREMENTS
Education
You have:
- A university degree in any relevant field.
- PMP certification is an asset.
Experience
You have:
- Minimum 6 years of professional experience as a Project Manager on large and complex project implementations.
- Experience in managing complex stakeholders' engagement.
- Understanding the humanitarian context is an asset.
- Familiarity with Best Practices in Project Management and Business Operations Support (Administration, HR, Internal Controls etc.) would be a strong asset.
- Solid organisational, prioritisation, project and time management skills, with the ability to coordinate and track multiple projects simultaneously and able to work under pressure.
- Expertise with project management software, such as Microsoft 365. Along with the ability to learn, understand and apply new technologies and business process domains.
- Experience with MS Word Excel and Gantt experience
- Excellent ability in implementing monitoring activities, data gathering and analysis.
- Demonstrated experience in managing and coordinating cross-functional teams.
- Ability to negotiate priorities and objectives to align varying viewpoints and create a unified approach.
- Advanced technical knowledge in monitoring and data analysis through professional work experiences.
Language
You have:
- Fluency in oral and written English
- Intermediate knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or Portuguese (one of WFP’s working languages) is an asset.
