Org. Setting and Reporting The position is located in the Resident Coordinator (RC) System Leadership Branch of the United Nations Development Office (UNDCO) and reports to the Chief of Branch.

Responsibilities The Programme Management Assistant provides direct support to the Chief of Branch and general support to the Branch in a wide range of activities. Within limits of delegated authority, the Programme Management Assistant (Team Assistant, Resident Coordinator System Leadership Branch) is responsible for the following:

1.Programme management support

  • Support the management and implementation of all processes and procedures related to the RC life cycle, including the Resident Coordinator Assessment Centre (RCAC), the Interagency Advisory Panel (IAAP) on RC selection, and the RC Performance Appraisal process.
  • Organize and manage the administrative and logistical aspects of RC/UNCT leadership development events and activities (e.g. RC Induction, SDG Leadership Labs)
  • Maintain and update the relevant sections of the DCO website and/or content on Branch-related platforms. Manages various distribution lists and databases.

2.Office administration

  • Assist in all aspects of programme/project administration, including work plans and budgets, and prepare the Branch’s contributions for a variety of periodic reports.
  • Handle all administrative duties and processes for the Branch (e.g. meetings/conference/events arrangements, travel arrangements, equipment purchases, consultant/supplier selection and evaluation, vendor contracts, procurement processes, etc.)
  • Organize, maintain and manage virtual working files and folders for the Branch, ensuring correct access rights and clean structuring.
  • Handle recruitment exercises for the Branch, including job classification, advertisement, evaluation and selection.

3.Executive support

  • Manage the Chief’s schedule, set up meetings.
  • Format and/or proofread a variety of communications, documents, or reports.
  • Perform other duties as required.

    Competencies - PROFESSIONALISM: Knowledge of internal policies, processes and procedures generally and in particular those related to programme/project administration, implementation and evaluation, technical cooperation, programming and budgeting;. Ability to use IMIS and IMDIS as required. Knowledge and understanding of the functions and organization of the Division for Sustainable Development, knowledge of the organizational structure and respective roles of related units in the Department and in the UN Secretariat; Ability to identify and resolve a range of issues/problems and to work well with figures, undertake basic research and gather information from standard sources. Demonstrated ability to apply good judgment in the context of assignments given; Shows pride in work and in achievements; demonstrates professional competence and mastery of subject matter; is conscientious and efficient in meeting commitments, observing deadlines and achieving results; is motivated by professional rather than personal concerns; shows persistence when faced with difficult problems or challenges; remains calm in stressful situations. Takes responsibility for incorporating gender perspectives and ensuring the equal participation of women and men in all areas of work.

  • TEAMWORK: Works collaboratively with colleagues to achieve organizational goals; solicits input by genuinely valuing others’ ideas and expertise; is willing to learn from others; places team agenda before personal agenda; supports and acts in accordance with final group decision, even when such decisions may not entirely reflect own position; shares credit for team accomplishments and accepts joint responsibility for team shortcomings.

  • PLANNING AND ORGANIZING: Develops clear goals that are consistent with agreed strategies; identifies priority activities and assignments; adjusts priorities as required; allocates appropriate amount of time and resources for completing work; foresees risks and allows for contingencies when planning; monitors and adjusts plans and actions as necessary; uses time efficiently.

    Education High school diploma or equivalent. Must have passed the United Nations Global General Services Test (GGST) at Headquarters or an equivalent locally-administered test at Offices Away.

    Work Experience Seven years of progressively responsible experience in programme, project or general office administration, or related areas is required Experience working in human resources management is desirable. Experience working with senior UN or comparable leadership designation is desirable. Experience with web-based platforms and knowledge management tools is desirable. Experience in the United Nations system or a comparable international organization is desirable.

    Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.

    Assessment Evaluation of qualified candidates for this job opening may include a substantive assessment which may be followed by a competency-based interview.

This position is available for an initial period of one year. Extension of appointment is subject to the availability of funds. Staff members are subject to the authority of the Secretary-General and to assignment by him or her. In this context, all staff are expected to move periodically to new functions in their careers in accordance with established rules and procedures.
