- Fluency in English (both oral and written) is required; Knowledge of another official United Nations language is an advantage.
Contract
This is a G-5 contract. This kind of contract is known as General Service and related categories. It is normally only for nationals. It usually requires 5 years of experience, depending on education. More about G-5 contracts.
Org. Setting and Reporting
This position is located in the Innovation Cell Unit, within the Policy and Mediation Division (PMD) of the Department of Political and Peacebuilding Affairs (DPPA) at United Nations Headquarters in New York. The incumbent will report to the Team Leader of the Innovation Cell.
The Innovation Cell is a recently established entity which builds on the commitments of the Secretary-General’s Strategy for New Technologies. It will serve as a catalyst for innovation, experimentation and exploration with regard to data, new technologies and new methodologies within DPPA, and will also be available as a resource for the wider peace and security pillar.
Responsibilities
Within limits of delegated authority, the Programme Assistant may be responsible for the following duties:
• Assists in the coordination of programme/project planning and preparation work related to the Department’s innovation initiatives and activities. • Compiles, summarizes, and presents basic information/data on related topics or issues. • Reviews documents, including budget and project proposals, for completeness and compliance with relevant rules and procedures prior to submission for final approval and signature; identifies inconsistencies; distributes project documents to relevant parties upon approval. • Serves as focal point for logistical and administrative coordination of programme/project implementation activities and events related to innovation, including liaising with other organizational units to initiate requests, obtain necessary clearances, process and follow-up on administrative actions, e.g. recruitment and appointment of personnel, travel arrangements, training/study tours, authorization of payments, disbursement of funds, procurement of equipment and services, etc. • Drafts administrative correspondence on related issues and prepares and updates status reports, briefing notes, graphic and statistical summaries, data spreadsheets, etc. • Provides general office assistance; responds to complex information requests and inquiries; reviews, logs and routes incoming correspondence; sets up and maintains files/records; organizes meetings, workshops; handles routine administrative tasks, such as maintaining attendance records, assessing telephone billing, etc. • Performs other duties as assigned including providing back-up assistance to other teams when needed.

Work Experience
A minimum of five years of progressively responsible experience in programme or project administration or related area is required. The minimum years of relevant experience is reduced to 3 for candidates who possess a first-level university degree or higher.
Experience in the use of office software packages (e.g. MS Word, Excel, PowerPoint) is required.
Experience in using integrated information management systems such as Enterprise Resource Planning (ERP) system, document management systems and recruitment platforms is required.
