IRC UK

IRC UK was established in London in 1997 to support the organisation’s global activities and particularly to diversify its donor base and be able to better advocate with European policy-makers on behalf of the people we serve. Since its establishment IRC UK has grown rapidly and is now acknowledged for its high-quality project management, technical expertise in governance and rights and economic recovery, and innovative thinking on early recovery and gender-based violence. IRC UK comprises approximately 240 staff.

IRC UK launched its first Resettlement Asylum and Integration (RAI) programme in the UK called RISE in 2020, working in partnership with local councils, to provide integration support to resettled refugees in Southeast England. The IRC now supports refugees and asylum seekers throughout England. In September 2023 we will launch a new Refugee Employability Project (REP) in the South West of England, a programme to help support refugees into work.

The Purpose of the Role

The Project Assistant is responsible for assisting UK programmes by providing administrative support, stakeholder engagement and monitoring support.

Key Working Relationships:

Position reports to the Head of UK Programmes and will work closely with the REP Project Manager, Economic Empowerment Manager, Integration Project Manager and Education Manager.

KEY RESPONSIBILITIES:

Partner and Client Engagement:

- Support partner and client engagement through management of enquiries via the email inbox

- Support participant engagement through arranging and facilitating online information and training sessions

- In coordination with staff, manage eNewsletter to generate engaging content that promotes RAI activities and keep subscriber mailing list up-to-date

- Support the organisation of training sessions delivered by UK Programme teams by arranging suitable dates for delivery and where necessary engaging effectively with participants before and after the session.

Administrative and resource distribution:

- Coordinate with the website developers to include content posting, regular content updating, and general maintenance and functionality; maintain and monitor online enquiries.

- Lead in the organisation of in person events run by UK Programmes teams including researching and liaising with venues and caterers, booking client travel, gathering necessary client documentation and planning agendas.

- Work closely with programme teams and UK supply chain team to handlelogistics for delivery of IT equipment and obtaining and saving IT equipment and client receipts.

- Oversee the ordering and distribution of all resources associated with UK Programmes in an efficient and timely manner.

Programme Monitoring:

- Support Programme Officers in their collection and recording of client data, including collating client feedback and distributing pre and post client assessments.

- Support the work of the Monitoring and Evaluation Officer including reviewing client data and organising focus group discussion logisitcs.

PERSON SPECIFICATION

Demonstrated skills and competencies:

- Positive, forward looking and able to work well in a team orientated environment.

- Excellent organisational skills.

- Experience with event or training planning.

- Solid experience with Microsoft Office Word, PowerPoint and Excel.

- Experience using word press or a similar website development platform.

- Strong attention to detail (excellent proofreading and editing skills).

- Ability to handle multiple priorities and work well under pressure with multiple deadlines.

- Excellent oral, written and interpersonal skills with evidence of ability to efficiently engage with a wide range and level of staff and organisations.

- Language skills – fluent in written and spoken English.

Essential:

- Excellent written and oral communication skills: the ability to communicate effectively with colleagues, partners and clients.

- Solid diplomatic and networking skills: the ability to effectively manage a variety of internal and external relationships;

- Ability to handle confidential documents and sensitive information;

- Proficiency in using Microsoft Office, experience leading meetings or trainings via online platforms such as Microsoft Teams, Zoom, Skype;

- Solid organisational skills with the ability to juggle multiple tasks, set priorities, effectively manage time, and meet deadlines;

- Ability to work as part of a team;

- Ability to travel regularly throughout the service delivery area.
