Overview

Support the Nutrition Unit’s PMNP project through administrative and operational tasks.

You have:

  • Completion of secondary education, preferably supplemented by technical or university courses related to the work of the organization.
  • A minimum of five (5) years of progressively responsible administrative or clerical work experience is required.
  • Fluency in English both oral and written is required.
  • Demonstrated ability and skills to work with the diverse civil society players.
  • Background and/or familiarity with emergency is a plus.
  • Relevant experience in a UN system agency or organization is considered as an asset.
  • Progressive responsible experience in supporting UNICEF's operational divisions, including: office management, finance/accounting/budget, IT, supply/logistics, clerical, secretarial, or other administrative work is a plus.

Contract

This is a G-5 contract. This kind of contract is known as General Service and related categories. It is normally only for nationals. It usually requires 5 years of experience, depending on education.

The salary for this job should be more than 1,133 USD.

How can you make a difference?

The Programme Assistant (CP), GS5 is primarily responsible for supporting the Nutrition Unit’s PMNP project by carrying out a range of procedural, administrative, and operational tasks, to help develop, implement, and monitor, the project activities ensuring timely and effective delivery that is consistent with UNICEF rules and regulations.

Under the supervision of the PMNP Programme Specialist the post shall undertake the following tasks:

  • Facilitate the processing of contracts for consultants, vendors and external partners that support the office in programme delivery. This includes preparing and filing documents, completing necessary forms and templates, uploading Terms of Reference (TOR) in VISION, and making necessary logistical arrangements. Keeps vendor lists, partners, and consultant rosters up to date.
  • Collect invoices and filing documents for approval and thereafter processing in the appropriate system applications.
  • Prepare and maintain records, documents, and control plans for the monitoring of project/programme implementation and financial expenditures.
  • Support the management of administrative supplies and office equipment.
  • Maintain the office calendar and arrange meetings. Taking minutes of meetings and keeping the correspondence of the team well organized.
  • Provide travel assistance to staff members in section for travel arrangements and entitlements based on the organization’s rules and policies. Liaise with relevant travel focal points to ensure that the organization obtains the best service and price for all travel.
  • Maintain and update the system which monitors the absence of staff.
  • Prepare and maintain records pertaining to programme planning and development for his/her respective section.
  • Carry out transactions in VISION ensuring programme results, activities and programme coding are as per annual work plans (AWPs) and makes amendments and alterations as per section revisions when necessary.
  • Support capacity development activities, meetings, and conferences by making the logistical arrangements, by engaging with facilitators, caterers, and hosts; arranging times by liaising with participants over availability; liaising with budget focal points and section over costs and needs; and preparing background materials for participants.
