You have:

  • Fluency in written and spoken English required; intermediate knowledge of another official UN language is beneficial.
  • Must have an undergraduate degree in information science, social sciences, development studies, business administration, education or a field relevant to international development assistance.
  • At least three years of progressively responsible job-related experience in Information management, knowledge management, communication, information technology or a closely related area.
  • Proficiency in Windows, Office O365 (MS Teams, Word, Excel, PowerPoint, Outlook, Access) and other applications related to blogging.
  • General knowledge of UN system policies, rules, regulations and procedures governing administration.

The WFP Regional Bureau for Eastern and Central Africa (RBN) is based in Nairobi and provides strategic direction, technical guidance, resource mobilization and management support to WFP operations and activities in ten countries: Burundi, Djibouti, Eritrea, Ethiopia, Kenya, Rwanda, Somalia, South Sudan , Sudan and Uganda.

JOB PURPOSE

We are currently seeking for an Information and Knowledge Management Consultant to fill the in our Programme planning, Partnerships, Data and knowledge management and corporate reporting unit- Knowledge Management (KM) section based in Nairobi, Kenya.

The position reports to the Knowledge Management (KM) team within the Programme Cycle Management Unit, under the larger Regional Programme Unit. Knowledge Management supports all the regional bureau units with optimizing their information and knowledge management (IKM) by setting standards, supporting/coaching unit IM/IK focal points and sharing internal and external information and knowledge that helps us deliver high quality, effective and impactful programmes, and the incumbent is to support in ensuring these roles are achieved, as well as support in institutionalizing knowledge management in the regional bureau as well as the country offices. KM participates in the Learning, Evidence, Analysis and Data (LEAD) working group and works closely with the Regional Evaluation and Research Analysis & Monitoring (RAM) teams to bring high quality knowledge products to the region.

The KM team coordinates the regional IM/KM network which supports individuals to become effective knowledge workers and teams to become effective at contributing to a strong and effective knowledge workforce in the region.

STANDARD MINIMUM QUALIFICATIONS

Languages:

Fluency in written and spoken English required. Intermediate knowledge of another official UN language is beneficial.

Education:

The candidate must have an undergraduate degree in information science, social sciences, development studies, business administration, education or a field relevant to international development assistance.

Experience:

At least three years post graduate, progressively responsible, job related experience in Information management, knowledge management, communication, information technology or a closely related area or projects.

Proficiency in Windows, Office O365, (MS Teams, Word, Excel, PowerPoint, Outlook, Access) and other applications related to blogging.

Experience working in a multicultural and fast-paced environment is beneficial.

KEY ACCOUNTABILITIES 1/3 (not all-inclusive)

↵The candidate, reporting to the regional knowledge management officer, is expected to:

Support in the coordination of the Information and Knowledge Management ( IKM) Focal Point ( FP) network:

  • Coordinate the IKM FP network through monthly sessions, and regular engagement
  • Continually build the capacity of IKM FPs to ensure they are well equipped to carry out their roles
  • Onboard Country Offices IKM FPS and build their capacities in their roles
  • Support Country Offices IKM FPs in delivering ToT trainings to their Country Office Teams.
  • Support the Knowledge Management officer, and Focal Points in coming up with appropriate Knowledge Management café topics, managing the event in a timely manner, ensuring that all café materials are disseminated in a timely manner, as well as stored in an accessible repository.

KEY ACCOUNTABILITIES 2/3

Manage the RBN Communities of Practice( COP) Platform

  • As part of a change management process, liaise with Headquarters (HQ) for a pilot yammer project in readiness for decommissioning of communities and in readiness for migration to Yammer.
  • Work with HQ to ensure that the RBN communities page is migrated to Yammer effectively.
  • Plan and execute an awareness campaign for RBN Communities of Practice Platform (Yammer) to regional and country office staff to enhance awareness on how the COP platform can be used to communicate and share information, stories and personal experiences, and learn what is happening throughout the organization, in a way that builds understanding and insight.
  • Daily scan of COP to see what information is useful and share on our page
  • Post information on the RBN COP page/ Platform as needed
  • Provide monthly statistics on engagement, following and readership
  • Support IKP FPs/users on how to share updates and tag relevant people and communities.

Contribute to the implementation of the KM strategy

  • Support the KM officer in conducting awareness sessions on the KM strategy with the Regional Bureau and Country Offices.
  • Contribute to the implementation of KM activities as outlined in the KM strategy
  • Implement the KM Strategy communication plan, defining communication channels

KEY ACCOUNTABILITIES 3/3

Support the Migration of Files from Share Drives to Microsoft Teams and SharePoint.

  • Constantly Guide IKM FPs to migrate documents, rename files as needed as per the nomenclature and guidance, as well as per the repository limitations
  • Guide IKM FPs on how to use the right communication channels, and influence change in their units.
  • Support IKM FPs to constantly maintain the repositories architecture teams that makes it easier for information to be accessed by users
  • Ensure Quality of the IKM architecture put in place for good information management.
  • Support the Project Cycle team , Regional Bureau and Country Offices maintain their MS TEAMS according to good Information Management practices.

Support with coordinating of KM events

  • Support the KM officer in organizing and implementing different KM events ensuring they are well planned, executed and followed-up.
  • Provide statistic on events held: participation, engagement, impact, etc.

Management of the WFPgo RBN page ( Intranet)

  • Provide updates needed to the Comminication , Advocacy and Marketing office that support KM goals to the communication team to update.
  • Support the KM officer in defining how this channel supports the KM goal

DELIVERABLES AT THE END OF THE CONTRACT

  • All documents migrated from Network Drives to SharePoint/MS Teams in the RBN and Good information management practices using TEAMS across all units, and use of O365 tools
  • Yammer, the Communities of Practice platform, tested, awareness around it built, and launched to ensure adoption in the RBN
  • The Information and Knowledge Management Focal Points network managed effectively
  • Knowledge Management Café coordinated well, disseminated, and knowledge from the café stored in an easily accessible manner.
