Under overall guidance of the Operations Officer and in liaison with the Cluster Coordinators, the Programme Assistant will support the work of the UHC/Life Course (ULC) and the Communicable and non-communicable Cluster (UCN) as related to administrative activities, programmatic activities and coordinating actions with members of the team. The incumbent will also collaborate with other clusters as and when necessary.

Support the technical programs planning, implementation and monitoring of activities and act as liaison between the technical programme officers and the service providers – including and not limited to Essential Health Services, Primary Health Care, Universal Health Coverage, Reproductive, Maternal, Neonatal, Child and Adolescent Health, Elderly programme, communicable and non-communicable diseases, Neglected Tropical Diseases and health systems strengthening programmes

  3. Organize the administrative preparation for activities, including cost estimates, travel requests; assist in the preparation of documents; sending materials and liaising with participants and others involved.
  4. Analyze correspondence and requests received, highlight incoming documents and attach background information and identify areas requiring action by Program Managers, drawing attention to important issues.
  5. Schedule meetings of Program Administrators, according to schedules and needs; take minutes of meetings and follow up on issues requiring action to ensure prompt response to WHO requests;
  6. Keep a record and maintain appropriate filing systems of incoming requests from MoH and AFRO/HQ and keep track of the deadlines
  7. Draft memos to the government and other institutions for the nomination of participants to meetings and follow up on the nominations with the relevant institutions
  8. Ensure that technical reports and documents are in line with WHO standards, rules, practices and procedures, editing and correcting them as necessary prior to review by technical officers
  9. Perform other related duties as required or directed, including support to the Administration

  1. Functional Knowledge and Skills:

The incumbent maintains and updates proficiency in modern office technology through in-house courses, on-the-job training, or self-training. He/she keeps abreast of changes in procedures and practices, rules and regulations, and organizational structure, in the department, the cluster, and WHO, to be able to brief others and explain procedures.

Educational Qualifications

Essential: - Completion of secondary school education or equivalent technical or commercial education:

Desirable: - Degree in Accounting, Administration and in the Management field is desirable

Experience: At least 8 years of relevant experience.
