Contract
This is a G-5 contract. This kind of contract is known as General Service and related categories. It is normally only for nationals. It usually requires 5 years of experience, depending on education. More about G-5 contracts.
Org. Setting and Reporting The post is located in the Secretariat to the Governing Bodies (SGB), Division for Treaty Affairs (DTA), United Nations Office on Drugs and Crime (UNODC), in Vienna, Austria. The incumbent will report directly to the Chief of the Secretariat to the Governing Bodies and work under the overall supervision of the Director of the Division.
Responsibilities The Programme Assistant will be responsible, inter alia, for the following duties:
- Assist in the coordination of programme/project planning and preparation work for programme/project initiatives of SGB; monitor status of programme/project proposals and receipt of relevant documentation for review and approval.
- Compile, summarize, and present basic information/data on specific programmes/project and related topics or issues.
- Review project documents, especially cost plans/budgets, for completeness and compliance with relevant rules and procedures prior to submission for final approval and signature; identify inconsistencies; distribute project documents to relevant parties upon approval.
- Serve as focal point for administrative coordination of programme/project implementation activities, involving extensive liaison with diverse organizational units to initiate requests, obtain necessary clearances, process and follow-up on administrative actions, e.g. recruitment and appointment of personnel, travel arrangements, training/study tours, authorization of payments, disbursement of funds, procurement of equipment and services, etc.
- Draft correspondence on budget-related issues and prepare and update periodic reports, briefing notes, graphic and statistical summaries, accounting spreadsheets, etc.
- Review budget revisions; verify availability of funds; ensure necessary approval and entry in computerized budget system.
- Assist with the procurement of goods for the Secretariat; review purchasing requests and determine the availability of funding sources and process procurement of goods in accordance with existing procurement rules and regulations.
- Keep stock of publications and printed material and ensure that sufficient quantities are available at all times; propose and process reprinting of publications and/or printed material, and coordinate/handle new printing requests.
- Process travel authorizations and reimbursement claims for meeting participants as required; process the Sectretaroat’s official staff travel by liaising with travel unit, visa section and finance section.
- Assist in the recruitment process and monitoring of contracts, in particular with regard to consultancies and project related personnel.
- Upload documents to webpages, as required.
- Provide back-up support for the registration of meeting participants, the preparation of lists of participants and documentation processing, as required.
Perform other work related duties and responsibilities as assigned.

Special Notice This temporary position is available until 28 September 2021. Filling of this temporary vacancy and actual duration is subject to availability of the post and funding.
