Job Description

The Crisis Response, Recovery and Development Department (CRRD) leads IRC’s work in 40 crisis affected countries around the world. With an annual budget of approximately $700M, and over 24,000 full-time and auxiliary employees, CRRD delivers high impact programming to improve outcomes for over 34 million people affected by humanitarian crises around the world. Working in partnership with other departments across the IRC, CRRD leads the delivery of our organizational mission of helping those whose lives have been shattered by conflict and disaster to survive, recover and gain control over their lives.

Job Overview/Summary:

To achieve the IRC’s strategic vision to increase the scale and impact of our programs for clients, CRRD has established a small ‘Impact at Scale’ team that is focused on driving scale at country and global level. Impact at Scale works in partnership with other departments to transform the ways in which the IRC supports, funds, designs and manages programs to unlock our ability to extend impactful services to more clients.

Reporting to the Director for Impact at Scale, the Program Manager will provide project management and administrative support to CRRD scale efforts in close collaboration with other colleagues and departments including, but not limited to CRRD technical units & program delivery teams, External Relations, Finance, Operations, Grants (Public and Private), and Research and Innovation functions.

Major Responsibilities:

1. Cross-functional planning and communication

• Support the Director of Impact at Scale to engage and manage an agile, action-oriented cross-functional team, supporting efficient communications and follow-up

• Maintain an active, up-to-date status of priority actions spearheaded by members across the cross-functional team, tracking priorities and flagging areas of concern

• Support the Director of Impact at Scale to utilize best practices and techniques for successful execution of each project/initiative on-time, within scope, and with effective engagement of cross-functional team members/resources

• Contribute to planning and preparation of Impact at Scale cross-functional team meetings and leadership updates (regular and ad hoc), including materials development, communication updates, and effective record keeping/updating.

• Create and integrate scale content through appropriate communications platforms (e.g. CRRD newsletter, RescueNet, etc) to organize and share Impact at Scale materials/content tailored to different audiences

• Design and publish scale communications materials to support CRRD to drive a common understanding of scale and promote an enabling environment in support of it across the organization

• Provide change management support on specific initiatives as directed (e.g. structure transformation) in collaboration with other units

2. Data, Performance and Risk Management – Strategic Projects (for scale)

• Support the planning and facilitation of Strategic Project governance routines to ensure relevant Senior Leadership is effectively engaged in risk mitigation/management and performance support

• Lend support to Strategic Project data collation and interrogation as needed in collaboration with other relevant functions (e.g. GOAT, PMUs, Data Excellence, Finance) to ensure accurate project status dashboards

• Help calibrate Strategic Project information sharing/presentation content to meet the needs of differing leadership audiences and governance routines.

• Participate in the revision and rollout of enhanced performance routines and data sharing practices for Strategic Projects aligned and integrated with CRRD’s departmental performance framework and data ecosystem approach.

3. Program Management

• Lead on the development of detailed project plans and timelines

• Update and maintain internal knowledge management system of scale resources and documents

• Update and maintain RescueNet content.

• Support Director of Impact at Scale to provide timely, clear, and consistent input to key initiatives relevant to the scale ambition (e.g. program design, partnership, client responsiveness, measurement, long term funding, etc).

• Recommend methods to streamline and harmonize workplan management and coordination processes internally and with other IRC business units

• Coordinate intern(s)

Job Requirements:

• Minimum 4 years experience in project managing large scale, cross functional projects

• Fluency in English required; proficiency in Arabic, Spanish and/or French a plus

• Familiarity and experience with project management software tools, methodologies and best practices

• High level of proficiency with the Google suite and Excel as well as the Adobe suite of products.

• Unparalleled team collaboration skills; comfortable working with wide range of staff functions and business teams

• Strong organizational skills, including the ability to be flexible and work well under pressure and deal with competing priorities in a fast-paced team environment

Demonstrated Skills and competencies

● Proven writing and editing skills: the ability to draft memos & letters and edit reports and proposals.

● Solid organizational and administrative skills, with a proven ability to prioritize projects with attention to detail.

● Excellent computer skills: MS Word, Excel, and file sharing.

● Grants and/or contract management experience

● Knowledge management experience, including developing and maintaining file and record-keeping systems, developing related logs and guidance documents

● The ability to work independently and productively in a fast-paced environment – pro-activity and initiative to problem solve within the job parameters is essential.

Working Environment:

● Standard office environment - open for fully remote work // majority working hours overlap with EST.
