The World Health Organization was established in 1948 as a specialized agency of the United Nations. The objective of WHO (www.who.int) is the attainment by all peoples of the highest possible level of health. “Health”, as defined in the WHO Constitution, is a state of complete physical, mental and social well-being and not merely the absence of disease or infirmity. WHO's main function is to act as the directing and coordinating authority on international health work.

This UNV assignment requires the incumbent to work under the direct supervision and in support of the Procurement Officer, Supply Catalogues and Long Term Agreements , Supply/HQ for the establishment and negotiation of Long Term Agreements (LTAs) and the maintenance of WHO online catalogues. For this purpose, and upon request of supervisor, the incumbent collaborates regularly with other Procurement teams in Geneva and Kuala Lumpur.

Within the delegated authority and under the supervision of Procurement Officer, Supply Catalogues and Long Term Agreements , Supply/HQ or his/her designated mandated representative(s), the UN Volunteer Data Procurement Specialist will support in establishment and negotiation of Long Term Agreements (LTAs) and the maintenance of WHO online catalogues. For this purpose, and upon request of supervisor, the incumbent collaborates with other Procurement teams, technical units and offices across the Organization. Specifically, the incumbent: a. Assists, under guidance from Procurement Officer, in the preparation and conduct of tenders exercises. Under the direct guidance of supervisor, he/she follows-up on the offers received from vendors as agreed by the supervisor, tabulates them and present to the supervisor for review. If required, he/she assists in the preparation of draft adjudication reports or equivalent document; b. Under the direct supervision of the Procurement Officer, enters or updates data in the repository of WHO portfolio of LTAs; c. Under the direct supervision of the Procurement Officer, enters/modifies items in the WHO GSM catalogue; systematically maintains all the item information up to date, particularly short description, long /special description, pictures, weight, volumes, minimum quantity, special conditions, etc., according to the pertinent LTAs signed with suppliers; d. Ensures that all suppliers contacts, products description data bases etc. are up-to-date and well maintained. Is responsible for the archiving of all files and documents received (soft and hard copy); e. As desired by supervisor, extracts data from GSM relating to procurement and also compiles various procurement reports, as and when needed; f. Coordinates item codes for WHO catalogue with the coding specialist g. Works in other areas of Procurement and performs all other related duties as required.

Results/Expected Outputs As an active WHO Supply Department team member, the UNV team member ensures efficient, timely, responsive, client-friendly, and high-quality support rendered to WHO technical units in the accomplishment of her/his functions. Specifically, the incumbent: b) Assists in the preparation and conduct of tender exercises in view of establishing LTAs; c) Maintains the repository of WHO portfolio of LTAs; d) Assists the Procurement Officer in the performance of all contract related activities pertaining to the LTAs; e) Maintains WHO E-catalogues and contract administration folders
