Background
Under the guidance and supervision of the Deputy Country Director (Operation) and direct supervision of the Senior Procurement Associate, the Procurement Intern ensures execution of transparent and efficient procurement services and processes in CO. The Procurement Intern promotes a client-focused, quality and results- oriented approach in the Unit.
The Procurement Intern works in close collaboration with the operations, programme and projects’ staff in the CO and UNDP HQs staff for resolving complex procurement-related issues and information exchange.
Duties and Responsibilities
The selected intern is requested to provide the following procurement support to the procurement unit in compliance with UNDP procurement rules and regulations:
- Carry out all procurement steps for simple procurement cases including events (prepare procurement notice, post on media, prepare evaluation documents for evaluators to evaluate, get required papers for contract, prepare contracts, get contracts signed; have vendor ready for PO creation);
- Draft procurement documents (procurement notice, evaluation documents, contracts) for other procurement cases carried out by other staff in the unit if so required
- Generate monthly expiry contract reports based on unit master file
- Record cost recovery on the system for the services provided by the unit
- Update and maintain the unit master file of all the services provided by the unit
- Update and maintain UNDP rosters
- File, copy and scan documents for the unit
- Provide support to the Travel Assistant on pouch, registry, payment, transportation, travel if required
- Perform other duties as instructed by the supervisor

Required Skills and Experience
The selected intern must possess:
- Minimum University Education. A degree or certification in administration or similar is an advantage.
- Minimum 01 year of experience in UN support service or international organization
- Proficient skill in the usage of computers and office software package (MS word, excel . . .)
- Good English speaking and writing skills
