How can you make a difference?

Under the guidance of the Supply Specialist, the Procurement Associate provides support in the local and offshore procurement of UNICEF’s supplies, equipment and services needed in support of the Country Programme.

Main duties and responsibilities

  • Receive and reviews requisitions for clarity, adequacy of specifications and completeness, Target Arrival Dates (TAD’s), confirm availability of funds with requisitioners, and obtain additional information considered necessary, especially on long term arrangements for direct ordering.
  • Draft bid invitations and/or requests for price quotations for all supply requisitions and service contracts ensuring that all relevant documentation are maintained as per requirements; draft fax solicitations and related correspondence.
  • Compile lists of local sources of procurement and types of products, contacts local vendors for price quotations, prepare summary of bids including information on price and conditions of offer. Maintain and regularly update vendor database both in VISION and on shared drive.
  • Draft procurement documents for signature as per the Table of Authorities of the office following contract award, ensure distribution of signed purchase document to all required offices and ensures obligation of funds is recorded and maintains filing for easy retrieval.
  • Generate procurement information from VISION, download reports from relevant dashboards and share information with stakeholders on status of orders, TADs, inflations, funds availability, etc. to ensure adherence to Key Performance Indicators agreed for Supply.
  • Coordinate work related to direct orders including scanning and sending of PO’s to offshore suppliers and Supply Division focal point. Follow up and expedite orders ensuring timely delivery of the supplies.
  • Assist Procurement Officer and requesters in verifying the quality of supplies as per specifications mentioned in PO’s and monitors timely delivery. Assist in maintaining status reports of all requisitions raised to track and trace the status of goods and services procured.
  • Maintain manual and digital procurement files and records, provide purchase information to receiving and warehouse inventory staff, maintain, procurement supply and vendor reference library.
  • Performs any other related duties and responsibilities assigned by the Supervisor.

To qualify as an advocate for every child you will have…

  • Completion of secondary education is required, preferably supplemented by technical or university courses related to supply chain, business administration, contract/commercial law, or another relevant technical field.
  • A minimum of five (6) years of progressively responsible work experience in a similar capacity in a recognised institution, including in supply, logistics, procurement, contracting, administration, finance and/or other directly related technical fields is required.
  • Experience with ERP systems such as SAP/VISION and related procurement and supply chain logistics transactions is an asset.
  • Computer literacy particularly in Windows Applications.
  • Fluency in English is required.
