The Water, Sanitation and Education Centre (WSEC) is part of Supply Division and centralizes the contracting and procurement of WASH, Education and Project Support commodities for all UNICEF offices, and SD warehouse hubs focusing on optimizing emergency response and access to affordable and quality assured goods on timely manner. WSEC is responsible for establishing global long term procurement arrangements for respective portfolios.

The Procurement Assistant will support the procurement cycle for a segment of WASH products and services. Providing effective services to customers, ensuring accurate and timely processing of Requisitions and requests up to the completion and closure of the order, with the overall goal of meeting the needs and requirements of the customers.

How can you make a difference?

  1. Reviews, evaluates, and analyses as necessary the incoming supply requisitions and requests to ensure quality and adequacy of information, specifications, appropriateness of requests, quantities, shipment, delivery dates, and budgets.
  2. Prepares and drafts cost estimate for procurement service transactions. Prepares sales orders, monitor and follows up on progress of sales orders to ensure that commitments entered into are met.
  3. Drafts, prepares, and provides advice as applicable to the international tender invitations. Assists with preparation of CRC submissions. Assists with and prepares Long Term Agreements and Direct Order Arrangements.
  4. Drafts and prepares Purchase Orders. Pro-actively follows up on placed orders and deliveries with all parties concerned in order to ensure timely and safe delivery of goods. Transmits all relevant information to customer including changes to planned deliveries, to facilitate delivery and customs clearance of shipments. Prepares and provides timely and regular status / monitoring reports to customers.
  5. Updating of databases and management systems for use by HQ, Field Offices or Regional Offices.
  6. Prepares evaluation of suppliers with respect to delivery performance and commercial acceptability. Monitors the status of relevant KPIs.
  7. Maintains order filing in accordance with UNICEF guidelines.
  8. Provides support to centres/Country offices as applicable during emergencies.
  9. Any other duties or assignments as requested by the supervisor

To qualify as an advocate for every child you will have…

Education: Completion of secondary education is required, preferably supplemented by technical or university courses related to the field of work.

Work experience: Five (5) years relevant working experience, preferably in a procurement function, from an administrative function in a commercial working environment.

Experience with procurement of WASH products and/or services for complex projects is desirable.

Knowledge of SAP (or similar ERP system) an asset.

Proficiency in Microsoft Office package, Word, Excel and Power point, is required.

Language Requirements: Fluency in both written and spoken English is required. Knowledge of another UN language (French, Spanish, Arabic, Chinese, Russian) and/or local language of the duty station (Danish) is a strong asset
