Organizational Setting
The procurement assistant works under the general guidance of the WHO Representative to Myanmar and direct supervision of the Administrative Officer, WHO Myanmar. The procurement assistant will provide support to all WHO country office teams in the area of procuring goods and services.
Major Duties and Responsibilities
- Assist in preparing RFQ/RFQ/EOI documents. Receive quotations and proposals and prepare comparison statements and submissions for approval of adjudication reports;
- Assists in preparation of procurement requisition documents. Preparation of submissions for internal approvals for initiation of procurements. Prepare necessary and relevant supporting documents for GSM submission.
- Assist in preparing and updating the register of Tax Exemption Certificates for WHO consignments arriving by Air and Sea and coordinate with Customs Clearing Agents for swift and timely clearance and delivery of shipments.
- Assist in obtaining Purchase Acknowledgement documents, invoice and delivery notes, Receiving Reports, Handover certificates and Supplier Evaluation reports and upload of the same in the WHO document management system.
- Assist in data entry and updating of procurement status in tracking and monitoring system.
- Communicate with all teams in WHO Myanmar regarding procurement of goods and services.
- Perform other relevant duties and responsibilities to the functions of procurement assistant.
Work Relations and Partnerships
The Procurement Assistant will be based at WHO Myanmar, in Yangon or Naypyitaw if required, and will work closely with the procurement team and all technical teams, concerned departments from third party organizations and local suppliers of goods and services.

Educational background
Essential
- Education: Completion of secondary school education.
Desirable
- Trainings or certificates in procurement, logistics or Supply Chain Management.
experience and knowledge
Essential
- Experience in logistics and procurement of goods and services with local and international organizations.
- Computer skills: Knowledge of Microsoft word, excel and power point.
- Good spoken and written English language.
- Excellent spoken and written Myanmar language.
Desirable
- Experience with ERP procurement systems.
- Knowledge of UN procurement rules and regulations.
