Org. Setting and Reporting This position is located in the Procurement Unit (PU), General Support Section (GSS), Division for Management (DM), United Nations Office at Vienna (UNOV). The incumbent will work under the direct supervision of the Chief of the Procurement Unit (PU) and the overall guidance of the Chief, General Support Section (GSS).

Responsibilities Within assigned authority, the incumbent will be responsible for a wide range of office support and administrative functions. The incumbent will be responsible for the following specific duties:

  • Provide procurement, logistical and administrative support to the Unit in the acquisition of a wide variety of goods and services.
  • Research, retrieve and present information from a variety of internal and external sources on sources of supply, vendors by commodity, etc., as well as obtain specifications for new products and equipment on the market.
  • Assist in drafting and preparing official documents including bid evaluations.
  • Assist relevant officers in the processing of more complex, higher value purchasing operations. Coordinate distribution of pertinent documents to concerned parties, ensure appropriate follow-up action, etc.
  • Assist in the preparation of presentation materials using appropriate technology/software.
  • Maintain files (both paper and electronic) and databases for the work unit.
  • Draft routine correspondence.
  • Develop and maintain in-house online tools using MS. PowerApp and SharePoint to support the work of the unit.
  • Assist the Unit with coordination effort in handling the implementation of the Supply Chain Planning Tools (SCPT) by serving as Price Planner and training focal point on SCPT.
  • Carry out the maintenance of the client support portal by updating relevant content of the website.
  • Assist in the preparation of training materials and in the delivery of training to stakeholders.
  • Handle all Procurement Acquisition Plan related activities.
  • Perform other work-related duties as assigned.

    Education High school diploma or equivalent is required.

    Job - Specific Qualification Passing the Global General Service Test (GGST) is a required prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Applicants who have not passed the GGST at the time of application may be invited for the test after submitting an application.

The GGST is a proctored entry-level examination at the duty station. Any travel expenses incurred in order to take the examination are the responsibility of the candidate and will not be reimbursed by the Organization.

Having passed the Administrative Support Assessment Test in English at the United Nations headquarters, ECA, ESCA, UNOG, UNOV, ICTR or ICTY may be accepted in lieu of the GGST.

Work Experience A minimum of three years of experience in procurement, administrative services and general office support or related area is required.

Work experience with an Enterprise Resource Planning (ERP) system is required.

Work experience with SAP/Umoja is desirable.

Experience working in an international organization is desirable.

Experience in developing or maintaining online tools using MS PowerApp and SharePoint is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required Knowledge of another official United Nations language is an advantage.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice Appointment or assignment against this position is for an initial period of one year and any extension of the appointment will be subject to the availability of funding.
