Result of Service

The Physical Verification Team Assistant at this level report directly to the Chief, Property Control and Inventory and assists the Chief, Property Management Unit on the physical verification (PV) of the United Nations properties within the mission area of operations. As such, he/she will be responsible to physically inspect, record the findings and report the actual status of the UN properties that were deployed for operational purposes and those remained in stock.

Duties and Responsibilities

He / she will be responsible for: • Participate during the R&I inspections of all asset and equipment during the deliveries and/or sending of goods that enters/exit the Mission area; • Conduct physical inspections and support the quality and quantity check ensuring that all items have been accounted for and are in good working condition (or in condition that warrant the movement of the items); • Conduct physical verification of all UN property that are deployed or install for operational purposes either for personal use or common usage reflecting an accurate User-Location-Status, quality/quantity and its physical condition; • Conduct physical verification of all UN property that are in-stock including participating during the high-value stock count reflecting the correct status of quality/quantity and its physical condition of stock in the warehouse; • Participate during the Board of Survey (BOS) to assist physical verification of all UN property that are earmarked for write-off; • Ensure that the User and/or the Custodian sign the PV Sheet acknowledging that the items were presented and inspected. This document should be compiled in accordance to the PV date and uploaded in Cosmos for PV discrepancies reconciliation by the MDM of the Technical Sections; • Prepare offline data of the PV findings in Excel format of the PV Update Template and submit along the signed PV Sheet to the Chief PCIU or a specific PV Team Leader within 48 hours after the completion of the tasks; • In addition to the physical verification disseminate Notification email to User/Custodian to acknowledge accountability of UNOE issued to them prior closing of the fiscal year; • Maintain own database of activity records and other supporting documents for future references; • Establish harmonious working relationship with all Team members and interact professionally with all supporting stakeholders and clients; • Participate in classroom trainings related to property management and perform computer-based training (CBT) on Umoja and mandatory courses; • Perform any other tasks as and when required.

Qualifications/special skills

Qualifications, Skills and Experience Required Education: High school diploma or equivalent is required. Relevant first-level university degree in combination with one year of qualifying experience may be accepted in lieu of three years of required experience. Experience: Have at least three (3) years of professional experience with progressive responsibility in the management of equipment, stocks, logistics, purchasing or any related field. Competencies • Professionalism: Demonstrate acceptable understanding of various logistics operations; ability to analyze data and ability to influence others to reach consensus, meet deadlines and achieve desired results; act for professional reasons. Personally, persevere in the face of obstacles and difficulties; responsibility for integrating gender perspectives and ensuring equal participation of women and men in all areas of work. • Teamwork: Excellent interpersonal skills; effectively contribute to team efforts within organizational limits; ability to establish and maintain partnerships and working relationships in a multicultural environment with tact and respect for diversity. • Planning and Organizing: Clearly define goals compatible with the agreed strategies; prioritize activities and priority tasks; modify priorities as necessary; allow enough time and resources to accomplish the task; take risks and contingencies into account in planning; check the plans and modify them if necessary; use time effectively.

Languages

Language: English and French are the two working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written French is essential. Knowledge of English is an asset.
